ADMIN COORDINATOR PERRY WORLD HOUSE
Duties: In a fast-paced, deadline -riven environment, provide high-quality events, front-desk reception, and executive and administrative support to Perry World House. Must be well organized and self motivated. Exercise considerable judgment, initiative, high standards, and follow through in the performance of duties; represent the office with professionalism when carrying out tasks and when interacting with others. Duties include, but are not limited to, all phases of events support and execution; maintaining reception and public areas for Perry World House, including greeting visitors, answering questions/inquiries and answering phones; maintaining electronic mailboxes; drafting general correspondence for the Deputy and Associate Directors; assisting with handling and maintaining the Deputy and Associate Directors' schedules and calendar for appointments, meetings, and conferences on-campus and/or out-of-town; arranging travel, transportation, and lodging, as needed; reconciling expense reports; typing and proofreading standard and complex or confidential material; opening and screening mail; acting as liaison between University staff, students and faculty; collecting and organizing information for meetings and/or reports. Establish and maintain critical office systems and protocols; including document management system and other systems required to improve efficiency, information sharing, and shared learning in Perry World House.
Qualifications: A High School Diploma or GED, Bachelor's Degree preferred and 5 to 7 years of experience or equivalent combination of education and experience is required. Experience in a fast-paced environment with events planning, calendar management, customer service/front-line support, expense reconciliation, professional demeanor, self-motivated, highly organized, high attention to detail and the ability to interact with all levels is required. Ability to successfully juggle multiple, concurrent responsibilities and deadlines a must. Experience using BEN Financials and TEM Concur is a plus. Strong computer literacy, including mail merge, spreadsheet management, and websites required; Demonstrated ability to work with significant autonomy, and collaboratively, as part of a goal-oriented team.
Must be able to multi-task, maintain confidential information and work with a diverse population. Excellent verbal and written communications skills a must.
