Brief Position Summary:
This position is responsible for the day-to-day management of the Ron and Jessica Liebowitz Fund for Innovation (FFI) which was established to provide support for experimental and unconventional projects which have the potential to create lasting, positive change and strengthen the Middlebury experience. This position will also support stewardship of additional funds overseen by the Provost. This position reports to the Director of Special Projects in the Office of the Provost.

Note: This is a full-time, benefit eligible, 5 year term position.

Essential Functions:
Goals and Governance
Work with the Provost to establish goals for these funds within the established criteria. Develop guidelines to award funds aligned with Middlebury’s strategic directions. Assists with long range planning. Work with the Vice President for Academic Development on the FFI. Collaborates with the Assistant to the Provost and the Budget Office Financial Analyst to be knowledgeable about fund criteria and fund balances. Collaborates with the Associate Provost for Integration Strategies on the One Middlebury Fund.

Outreach and Application process
Manage the application process from start to finish. Actively recruit potential recipients who can advance the goals of the funds. Provide administrative and technical support to announce the opportunities. Maintain related website pages and social media. Meet with individuals to discuss opportunities. Develop and communicate a clear application process. Respond to inquiries from applicants, in a timely and helpful way. Receive and maintain exceptionally accurate records of applications. Review and compile applications for review by decision-makers. Implement reviews (risk, IP, budget etc.) where applicable.

Decision Process
Develop and maintain processes to award funds to grantees. Schedule, plan and provide administrative support for the Fund Advisory Board (FAB). Organizes and supports FAB meetings and other events. Maintain accurate records of FAB decisions. Notify applicant of decisions. Draft agreement letters to grantees noting expectations for acceptance of the grant. Announce awards.

Project support and close out
Process payments or reimbursements to recipients. Monitor grants. Provide project leads with regular budget reports. Maintain collaborative relationships with project leads. Monitor alignment of actual and budgeted expenditures. Assist individuals who may or may not be aware of policies and procedures. Help create plans of assessment for approved projects with the support of the Office of Assessment. Write and submit financial and programmatic reports.

General Responsibilities:
Implements policies and procedures to ensure appropriate and effective use of funds.

Establish and meet deadlines. Review and assess current policies and procedures.

Must effectively work with and communicate a wide range of constituents including decision-makers, applicants, grantees, and staff from offices that help support the processes.

May provide support for other related projects.

Education:
Bachelor’s degree

Knowledge:
• Ability and willingness to work both independently and collaboratively
• Excellent written and oral communication skills
• Establish and work within tight deadlines; take initiative to meet deadlines
• Work with sensitive and/or confidential information

Experience:
• Must be able to work effectively with constituents from a wide range of experiences and backgrounds - navigate complex social relationships - get along well with others and encourage cooperation
• Computer proficiency is essential
• Experience building and maintaining websites and social media is preferred
• Related experience preferred
