DHVI Program Coordinator (Tomaras)

The Program Coordinator position will be responsible for assisting with programmatic and administrative aspects of grants/contracts and research programs within the Duke Human Vaccine Institute (DHVI). The position will be a support resource for the DHVI Tuberculosis Immune Correlates Program and will work closely with Investigators, Program Managers, and the DHVI Agreements Manager to ensure successful programmatic support.

RESPONSIBILITIES:
  1. In conjunction with the Program Management Team, coordinate and facilitate the Material Transfer Agreements and legal agreement process originating within the DHVI outgoing and incoming from affiliate institutions to ensure the continuity of scientific progress.
  2. Coordinate and facilitate annual grant reporting and scientific advisory reporting related to collaborating sites and both Federal and Foundation sponsors. Monitor progress reports and milestones and coordinate the process to ensure grant/contract reporting requirements are completed and submitted in accordance with the deadlines for the program.
  3. Assist with managing and maintaining clinical and specimen data for all program studies. Work with DHVI regulatory team and the legal team to implement appropriate actions regarding specimen requests with internal & external collaborating institutions.
  4. Organize and coordinate clinical and nonclinical shipments with local and international researchers. Track, approve and ship all reagents/antibodies to outside institutions
  5. Organize and take minutes for bi-weekly internal programmatic meetings. Organize and coordinate conference calls with project leaders and other collaborators. Take and distribute detailed minutes.
  6. Assist with planning for and organizing in person program conferences twice a year.
  7. Assist with manuscripts and grant applications to create/edit figures and add electronic references using referencing software (i.e., EndNote).
  8. Support the DHVI Program group for C-card and Buy @ Duke programs, supply acquisitions, and purchase orders. Additional schedule meetings and coordinate meeting logistics for the DHVI Program group.
  9. Perform other duties as assigned by DHVI and Program Management leadership.

EDUCATION: Work requires a basic science background normally acquired through a high school education. Associate's / Bachelor's degree or equivalent coursework or training is preferred.

EXPERIENCE: Work requires 6 years of clinical, research, or scientific administration experience in a healthcare, medical, or research setting.
