Bachelor's Degree. Two (2) years of full-time experience related to fundraising or direct marketing (i.e. annual giving, major gifts, mass marketing, data management, or donor relations). Experience managing multiple marketing projects in tandem.

Preferred Qualifications:

Additional years of fundraising or direct marketing experience. Demonstrated experience managing direct mail projects in a complex nonprofit organization. Demonstrated experience in grateful patient fundraising/marketing. Understanding of HIPAA laws and regulations. Full-time experience working for an Annual Fund. Experience managing a budget. Experience procuring vendor services. Supervisory experience. Proficiency in data management software (i.e. Raiser’s Edge). High level of Excel expertise (i.e. complex sorting, de-duping, pivot tables, etc.).

Brief Description of Duties:

The Assistant Director of the Annual Fund reports to the Executive Director of Annual Giving.The Assistant Director will focus on initiatives for Stony Brook Medicine, comprised of six professional schools (Medicine, Health Technology and Management, Dental Medicine, Nursing, Social Welfare, and Pharmacy and Pharmaceutical Sciences) as well as Stony Brook Hospital and Long Island State Veterans Home. The Assistant Director is a criticalposition in the day to day operations of the Annual Fund’s development and execution of Stony Brook Medicine’s direct marketing initiatives to alumni and friends.

The Assistant Director will serve as the project manager for direct mail, email, volunteer, event, special project and social media efforts. The ideal incumbent will have high energy and possess an ability to work creatively and collaboratively. S/he will demonstrate attention for details, adhere to strict project timelines, and feel comfortable working with large amounts of data. Tasks and responsibilities will include:

Working with the Executive Director to build on existing direct marketing revenue programs for Stony Brook Medicine. Working with the Executive Director and the AVP for Medical Advancement to develop and execute a comprehensive segmented alumni and friends giving strategy focused on pipeline development in the Schools of Medicine, Health Technology and Management, Dental Medicine, Nursing, Social Welfare, and Pharmacy and Pharmaceutical Sciences. Executing best practice direct marketing fundraising techniques for the Annual Fund’ direct marketing plan for Stony Brook Medicine’ Grateful Patient Fundraising Program. Managing a calendar of three multi-segmented direct mail solicitations, including content sourcing, interviews, letter writing, data requests and segmentation, and working with an external vendor to ensure timely delivery. Serving as the primary role in ensuring compliance with HIPAA laws and regulations. Identifying mailing list providers to augment hospital patient data, and evaluate fundraising outcomes to optimize future data buys. Developing systems for tracking the impact of grateful patient and family fundraising efforts. Managing a small portfolio of individuals capable of making gifts of $1,000 to $100,000 to Stony Brook Medicine; Responsible for moving these prospects efficiently and effectively through all stages of qualification, cultivation, solicitation, and stewardship by developing appropriate individual strategies. Managing a calendar of over 10 email solicitations, including content sourcing and project management with our communications and data services teams. Coordination of call center calendar, including but not limited to scripting, outcome reviews, and coordinating HIPAA compliant data loads to automated call center software. Assisting in content development and management for new online marketing initiatives such as crowd-funding projects. Other duties as assigned as appropriate to rank and department mission. Special Notes: Travel may be required for this position. FLSA Exempt position, not eligible for the overtime provisions of the FLSA.
