DEAN'S OFFICE ADMINISTRATIVE ASSISTANT
Duties: Penn Law staff play a critical role in providing a world-class educational environment, supporting faculty, students, alumni, and fellow staff members in a collaborative and ambitious environment. Reporting to the Dean's Office Coordinator, the Penn Law Dean's Office Administrative Assistant represents Penn Law to a wide variety of audiences and constituents, in person and via email, the phone, and other media.
The Dean's Office Administrative Assistant greets visitors and callers, answers questions as possible, and triages others to the appropriate departments. The Administrative Assistant handles the Dean's mail and performs a variety of administrative tasks for the Dean's Office. The Administrative Assistant also serves a critical role in scheduling, organizing catering for, and providing day-of set up and other support for a variety of events scheduled out of the Dean's suite.
The position is a part-time, hourly paid role working 25 hours/week, typically 10:00 to 3:00 p.m. Monday through Fridays. You can find a full description on the Penn Law website (About, Job Opportunities).
Qualifications: One to two years of increasing responsibility in a fast-paced, customer service oriented administrative environment required; high school degree required. Excellent ability to prioritize work and to communicate well with a wide variety of constituents required. Must be able to demonstrate commitment to discretion and ability to wisely handle confidential material, as well as strong customer-service ethic and excellent attention to detail. Excellent verbal and written communication skills required. Proven ability to problem solve and excellent critical thinking skills required. Knowledge of University systems helpful; data base experience required. Strong facility in Word (including mail merge functions), Excel, and Power Point required.
