Assistant Director of Academic Finance and Administration

Reporting to the Executive Director, this position assists the Executive Director as well as the Senior Advisor for Finance. The position works directly with faculty, staff and students and manages financial and personnel data and is responsible for insuring data integrity.
This is position handles confidential information related to Academic staff and faculty. It requires a heavy amount of communication/correspondence among all areas of the college as well as all areas outside the college.

  • This is a bargaining unit position. In this position, you would be exclusively represented by the Service Employees International Union (SEIU), Local 888 for purposes of wages, hours and other terms and conditions of employment.

Required Knowledge:
Detail oriented with excellent follow-through.
Experienced with Word and Excel; familiar with or able to learn additional computer software (database programs, design software, calendar/scheduling programs, email programs, etc.)
Ability to work with financial data to insure accurate accounting.
Strong organizational skills and ability to multitask, prioritize, manage stressful situations, and handle confidential matters.
Strong interpersonal and communication skills, including good listening skills and the ability to sensitively/patiently handle upset students and/or parents.

Preferred/Desirable Knowledge:
Bachelor’s degree required, advanced degree preferred with coursework in a Communication, Business or Finance areas. Experienced with Word and Excel; familiar with or able to learn additional computer software (database programs, design software, calendar/scheduling programs, email programs, etc.)

Required Prior Work Experience:
3 years of related office work required. Work in a College and/or finance area with experience working with clients and/or the public.

Job Duties:
  • Assist the Senior Advisor for Finance • Reconcile full-time and affiliated faculty compensation to insure accurate payments to faculty and correct accounting in Banner/Workday. Work with HR and Payroll to research and resolve discrepancies. • Update and maintain the Academic Affairs staff roster. Work with the Budget Office to research and resolve discrepancies. • Monitor balances for restricted and FD funds within Academic Affairs. • Initiate purchase orders and payment request forms for Academic Affairs department related expenses. • Review financial reports for all operating within Academic Affairs. • Work with administrators in Academic Affairs departments to research and resolve financial issues. • Participate in new system and/or process implementation committees.
  • Assist the Executive Director Faculty: • Maintaining the Academic Affairs faculty database and work with Human Resources to be sure faculty records in Banner/Workday are correct and up-to-date. • Assist with the electronic contracting system for affiliated faculty and on-boarding of new affiliated faculty. Create and maintain official faculty files. • Oversee the Faculty Parking process. • Assisting the Undergraduate Curriculum Committee by preparing documents for meetings, taking notes and maintaining the online system. Students: • Oversee the notification process for students on Probation, working with students and parents who have questions. • Schedule student appointments for the Ex. Director. • Assist with the Gold Key Honors Awards ceremony and distribute sashes for Commencement.
  • Assist the Office of Academic Affairs • Make all travel arrangements for ELA faculty fellows on a bi-annual basis. • Coordinate and staff Academic Affairs Annual Staff Retreat and assist with Faculty Institute and other programs and special projects as assigned. • Administration and facilitation of the Academic Affairs Division Employee Appreciation and Recognition Program. • Schedule recurring meetings including: Academic Affairs Directors monthly meetings, Castle Monthly Finance Meeting etc. • Office Coordination including ordering supplies, making travel arrangements, working with the Senior Executive Administrator on projects for the Chief Academic Officer.
