Duties: The Staff Assistant will serve as the major support person to the Executive Director and the point person for projects designated by the Executive Director. Perform high-level administrative, support, and coordination duties for the Executive Director. Support work will include, but not be limited to, coordination of the executive director's calendar scheduling; ensure all correspondence, written materials, and emails are prepared in a timely manner for review and distribution to meet all deadlines;
manage the executive director's meetings, travel, and public speaking schedules; undertake reimbursement processing; and triage a high volume of email and other correspondence. Work with the Executive Director to ensure prioritization of his time to advance the mission of Perry World House. Prepare briefing materials, draft agendas and related deliverables for meetings of the Executive Director. Manage special projects on behalf of Perry World House. The incumbent will take direction from the executive director with regard to board and donor stewardship and other projects of priority to the Executive Director. The incumbent will undertake strategic communications, including coordinating the annual report, creating and updating donor engagement materials, maintaining the PWH master mailing list, and managing and producing the regular PWH newsletter, and related communications

Qualifications: A bachelor's degree and at least 2-3 years of progressively responsible experience in an executive assistant, or comparable position, or equivalent combination of education and experience required. Experience in support of senior-level leadership preferred. Experience managing special projects. Ability to work both independently and as part of a diverse and close-working team in a fast-paced setting requiring initiative, strong organization, entrepreneurship, flexibility, sound judgment, and the prioritization of multiple demands. Thorough knowledge of office procedures including phone messages, scheduling, travel arrangements and reimbursements. Events planning and management. Strong writing and editing skills. Outstanding oral and written communication skills; ability to exercise diplomacy, tact, and judgment in interacting with a wide range of constituents at varying levels of an organization. High-level of proficiency with Microsoft Office Suite (Word, Excel, and PowerPoint) including MS Outlook required; proficiency in Concur a plus; overall high level of computer literacy required. Ability to learn and apply new technologies as needed. Strong attention to detail and accuracy in work performance while meeting deadlines. Knowledge of Penn policies or experience in a university setting strongly preferred.
