The Administrative Specialist II is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and agency/institution policy.
Duties & Responsibilities:
Compose, type, and edit various documents including letters, memoranda, reports, forms, narratives, and training materials using a typewriter, word processor, or personal computer.
Act as office receptionist by greeting and directing visitors, screening calls, responding to routine questions regarding policy and procedures, providing instructions on the completion of forms, or making referrals to other sources of information.
Establish and maintain various computerized and paper files, records and logs (i.e. clinical practicum hours), and retrieves information as needed for reference or to compile reports.
Develop or modify procedures and formats materials for new or revised word processing applications including student and clinical practicum handbooks.
Recommend changes in word processing methods, set up data for sort/select procedures, and merge data into printed reports by selecting type face and sizes, integrating plates and figures, and establishing unique designs.
Maintain sufficient supplies for the office and work unit by conducting physical inventory, ordering, receiving, and restocking supplies.
Process approved requests for purchases by ordering and receiving materials, as well as other documents by logging, coding, recording, verifying, and recalculating data.
Participate in setting up workshops, conferences, and other meetings by compiling and typing materials, scheduling and registering participants, and maintaining attendance and evaluation data.
Post entries to manual or computer ledgers, journals, or spreadsheets to submit for funding request and/or account for expenditures.
Prepare itineraries, schedules of events or staffing, and maintains calendars and/or suspense files to remind supervisor of upcoming deadlines and activities.
Provides technical assistance to professional staff in word processing functions through instruction and demonstration when possible and assistance with problem resolution and/or referral to appropriate technical support specialists where applicable.
Processes employment documents as needed, advising hold waivers, issues registration permits, updates advisor of record, and updates and/or modifies other student related records as required, course entry, course modifications, and submits course list for room assignment, and travel arrangements and reimbursement for travel expenses as needed.
Performs related responsibilities as required or assigned.
Knowledge of record keeping procedures, the principles and practices of mathematics and statistics, work-related subject area, and computers and software applications.
Ability to conduct research and compile data into report form, establish and maintain filing systems, operate standard office equipment, analyze documents to determine compliance with rules, regulations, and
procedures, and communicate both orally and in writing.
8:00 a.m.-5:00 p.m.
The Administrative Specialist II has regular contact with department staff, other state agency/institution personnel, clients/students, personnel of regulated entities, and the general public.
The formal education equivalent of a High School Diploma.
Two (2) years of experience in a specialized or related area applicable to work performed.
Other job related Education and/or Experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval or the qualifications review committee.
