Overview

The East Asian Studies (EAS) department is seeking a Graduate Program Administrator (GPA) and Assistant to the Chair who will be responsible for administration of the Department's graduate program and providing executive-level administrative support to the Chair.



The incumbent will possess independent judgment and exercise discretion and confidentiality about matters of significant importance to the EAS Chair, Director of Graduate Studies, and Department Manager. In this capacity, the GPA anticipates and initiates appropriate action; offers excellent judgment and tact in dealing with sensitive and timely situations; establishes priorities; works autonomously with minimal supervision but is also collaborative with colleagues; assimilates and conveys large amounts of information about policies, procedures, and academic regulations; and is willing to take initiative and assume responsibility.

Responsibilities

As administrator for a medium-sized and busy graduate-student office, consisting of ~45 Ph.D. students, the GPA ensures the successful operations of all aspects of the EAS graduate program in consultation with the EAS Director of Graduate Studies. The GPA manages the administrative and fiscal life-cycle of Ph.D. students, from admissions, general exams, and prospectus to their dissertation defenses as well as coordinating job placements (up to 200 submissions per year), plus all graduate events and conferences. In addition, the GPA is the EAS liaison to the Graduate School on many critical issues.



As Assistant to the EAS Chair, the incumbent will work closely with the Chair on independent communication to the EAS academic community both within and outside of Princeton University. In this role, the Assistant is also charged with managing the Chair's travel arrangements and calendars, and gathering data for foundation reports, Advisory Council meetings, and the Academic Review.



As a member of our administrative team, this individual will also work collaboratively with the EAS Department Manager and share the oversight of daily operational tasks and recurring events with other members of the office staff.

Qualifications

ESSENTIAL:



The finalist will possess and demonstrate exceptional analytical, problem-solving, and decision-making skills; be attentive to detail; work strategically and effectively; approach work with a strong customer-service approach; and possess exceptional interpersonal skills, including the ability to work independently and collaboratively within a shared-office space. The incumbent will exercise good judgement and maintain confidentiality, while discreetly handling sensitive information. Other essential requirements include:
  • Bachelor's degree or working toward completion of a Bachelor's program, plus 1-3 years of related experience
  • Effective organizational and project coordination skills
  • Demonstrated ability to gather, analyze, interpret, and present data (both quantitative and qualitative) for varying constituencies and purposes
  • Strong oral/written communication skills
  • High level of competency with Outlook, Word, Excel, and Adobe Suite

PREFERRED:
  • Three years experience working in an academic environment
  • Familiarity with University systems: Prime, Concur, SAFE, Information Warehouse, Labor Accounting, PeopleSoft Curriculum Management, SharePoint, and Drupal.
  • Conversational Chinese, Japanese, or Korean is a plus.
