Administrative Assistant I

Position Summary

Provides support to the assistant FOIA officer in receiving and processing requests pursuant to Michigan Freedom of Information Act (FOIA), including intake, determination of record source units, contacting affected units, answering questions from affected units regarding processing, assessing responsiveness and comprehensiveness of records available and collected in response to FOIA requests; drafts correspondence on behalf of the administrative staff; maintains FOIA database; provides referential information for current cases and synthesizes data for annual unit reports; establishes, monitors, maintains and oversees files and records on students employees, internal and external fund accounts, and general operations; compiles records and submits bills for departmental products and services; may oversee and/or supervise designated student staff.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired through the first two or three years of college, such as an Associate's degree in a business-related field or in a field which corresponds to the particular department of employment; six months to one year of related and progressively more responsible or expansive work experience in word processing, database, spreadsheet, presentation software and/or desktop publishing, web page software; office procedures, demonstrated experience managing confidential records; or an equivalent combination of education and experience.

Ability to exercise independent, sound judgment; ability to communicate effectively, both orally and in writing; ability to work under tight time pressure and pay close attention to detail; strong interpersonal, organizational, and collaboration skills; five years or more employed at the University; knowledge of University policies and procedures; proficiency in computer software such as WordPerfect; advanced knowledge of University administrative organization and business procedures; demonstrated ability to work collegially, effectively, and efficiently in a team environment under restrictive deadlines regarding multi-faceted, detailed projects of a sensitive nature.
