Administrative Assistant II
Serves as the fiscal officer for pre-and post-award matters for the Center for Systems Integration and Sustainability within the Fisheries and Wildlife Department, which conducts cutting-edge research on emerging issues related to sustainability; trains new generations of leading scholars for interdisciplinary research; disseminates its research findings across the globe. The successful candidate will provide grant and budget development assistance, including preliminary project review; coordinates timely proposal submission process while ensuring appropriate approvals; supports contract execution, account setup and activation; assists with the administration, monitoring, and financial management of accounts in accordance with applicable federal, international, state, and university policies, procedures, and regulations; assists with processing cost share entries and effort reporting; assists with subcontract and sponsor communication; supports the coordination of tracking and facilitation of research payments and invoicing of funding sources; responsible for project account closeout activities; serves as liaison between sponsor/funding source and PI, facilitates required project communication, and creates/submits reports as necessary; liaison on travel for faculty, staff, students and visitors; advises travelers on policies and procedures and handles complex travel arrangements and reimbursements; may advise faculty on visa application process; assists with domestic and international travel as needed; includes booking airfare, preparing travel authorizations and advance requests, reconciling travel expenses and submitting travel reimbursement requests; and experience in arranging seminars, meetings and conferences both on- and off-campus.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year college degree program in a Business related field such as Administration, or Accounting; one to three years of related and progressively more responsible or expansive work experience in word processing, database, spreadsheet, presentation software, and/or desktop publishing and web page software; or related software and in maintaining accounting ledgers; and/or in performing responsibilities closely related to the operational activities of the employing unit; or an equivalent combination of education and experience.Desired Qualifications
Ability to produce excellent work under strict last minute deadlines. The successful candidate will be someone who thrives in a fast-paced environment, and is able to maintain attention to detail amidst multiple, sometimes competing demands. Experience with MSU externally funded contracts and grants, policies, and procedures; experience preparing proposals, pre- or post- award processes specifically with Grants.gov, Fastlane, and/or NSPIRES; experience formulating budgets and financial reports; experience with awards from NSF, NIH, NASA, and USGS; excellent written and oral communication skills; experience with SharePoint and financial reports within Business Intelligence; working knowledge of MSU EBS finance.
