Administrative Assistant


Job Description Summary:

The Health Sciences Division of the School of Medicine and Health Sciences is currently seeking an Administrative Assistant to support the Dean's office and the department of Clinical Research and Leadership (CRL). This position reports to the Dean's office and the Department of Clinical Research and Leadership.

Responsibilities Include:

-Manages front desk duties such as welcoming and orienting visitors, processing and distributing mail, and other reception duties.
- Maintains Health Science division directories.
- Schedules meetings and manage meeting room audio and visual equipment.
- Serves as point of contact for building maintenance and submits service requests
- Manages maintenance and supplies for the office printers, water and coffee machines and shredding service.
-Purchases supplies and equipment (office supplies, computers, business cards, etc.)
- Submits invoices, honorarium and other payment requests.
- Processes payments for faculty and staff travel, memberships and conference dues.
- Maintains computer inventories and monitor expenses and budgets.
-Provides administrative support for special programs such as Summer Institutes and High School programming.
- Provides logistic support for EHS Weekend Testing and Paramedic Refresher Course.
- Liaises with the SMHS Continuing Education (CE) office and prepare course certifications.
- Supports undergraduate and graduate courses, as needed.
- Assists with calendar and schedule meetings.
- Assists with faculty promotion and tenure packages.
- Takes minutes at faculty and program director meeting.
- Performs other work-related duties as assigned.

Minimum Qualifications:

Qualified candidates will hold a high school diploma/GED plus 1.5 years of relevant professional experience, or, a Bachelor's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:

Proficiency with Excel and Word
Familiarity with travel and expense applications
Strong organizational skills
Excellent communication skills
Proficient in customer service
