The Beckman Institute for Advanced Science and Technology at the University of Illinois at Urbana-Champaign seeks applicants for a Grants and Contracts Specialist/Coordinator position. Both levels will be responsible for participating in the financial accounting, budgeting and reporting functions related to grants and contracts administered by the Beckman Institute and supporting the Grants and Contracts Coordinator.

Major Duties and Responsibilities for the Grants and Contracts Specialist:
  • Counsel faculty during the pre-and post-award process for externally-funded research projects conducting the budgeting and accounting activities in accordance with generally accepted accounting principles and the policies and procedures of the Beckman Institute and the University of Illinois as well as compliance with sponsoring agencies' rules and regulations.
  • Prepare and review information required for research proposals, including preparation of budgets and assistance in the preparation of proposal documentation following agency requirements. Work with the Office of Sponsored Programs to submit proposals, track research proposal information and assist in grant/contract negotiations.
  • Prepare, review and reconcile monthly grant accounting reports for researchers and management. Ensure the accuracy of various types of expenditures and procurement procedures for all grant funding using professional accountancy knowledge.
  • Review and approve the use of grant funds for the following items: employee appointment requests for individuals, P-card, I-buy orders, and travel reimbursements.
  • Monitor the administration of sub-award agreements and payment processing on research projects.
  • Review progress reports and monitor faculty effort to ensure compliance with policies and make recommendations.
  • Consult with the Office of Grants and Contracts Post-Award Administration staff for required documentation, reporting and close-out activities.
  • Research and analyze information and data. Take independent action and exercise individual authority based upon level of knowledge and professional experience.
  • Prepare special management reports as needed.
  • Assist with the development, documentation and implementation of new and/or revised procedures.
  • Participate in continuing professional development activities (e.g., conferences, seminars, training) to improve knowledge of technical and ethical aspects of accounting and business practices.

Work with the Office of Sponsored Programs to submit proposals, track research proposal information and assist in grant/contract negotiations.
  • Prepare, review, and ensure accuracy of various expenditures on monthly accounting reports for principal investigators/responsible persons for grant and grant match funds.
  • Assist in conflict resolution with grants and contracts business activities to identify and resolve problems. Use independent judgement to facilitate activity with all parties.
  • Prepare regular reports related to grants and contracts for researchers, departmental managers, constituents, governmental agencies and management. Research and analyze information and data.
  • Review and approve the use of grant funds for the following items: employee appointment requests for individuals, P-card, I-buy orders, and travel reimbursements.
  • Monitor the administration of sub-award agreements and payment processing on research projects.
  • Review progress reports and monitor faculty effort to ensure compliance with policies and make recommendations.
  • Work with various offices, including the Office of Sponsored Programs and Research Administration and Grants and Contracts to prepare and track research proposals, assist in grant/contract negotiations and post-award administration, including all reporting and close-out activities.
  • Assist with the preparation of materials for audit purposes and respond to audit findings. Maintain required documents per University requirements.
  • Ensure the accuracy of the information reported in the (ARS) Activity Reporting System for the Beckman Institute.
  • Assist with the design, development, documentation, and implementation of new and/or revised financial systems and procedures.
  • Participate in continuing professional development activities (e.g., conferences, seminars, training) to improve knowledge of technical and ethical aspects of accounting and business practices.


QUALIFICATIONS FOR GRANTS AND CONTRACTS SPECIALIST

Minimum Qualifications:
  • Bachelor's degree in business, accounting, or related field; or bachelor's degree and applicable professional experience.
  • Experience in a complex business, academic, research or government environment, preferably at an institution of higher learning.
  • Effective communication, organizational, analytical and problem-solving skills.
  • Ability to be self-motivated, work independently, exercise good judgment and prioritize is required, as is a good knowledge of PC-based tools, including Word and Excel.


Preferred Qualifications:
  • Exposure to University of Illinois or fund accounting principles.
  • UIUC Certified Research Administrator Certificate.
  • Working knowledge of the BANNER financial system and experience in sponsored research administration.


QUALIFICATIONS FOR GRANTS AND CONTRACTS COORDINATOR

Minimum Qualifications:
  • Bachelor's degree in Accounting or related field.
  • Two years of relevant grants and contracts or financial and administrative experience.
  • Experience working in a university research setting, with sponsored research administration and the University of Illinois policies, rules, and financial systems, including BANNER.
  • Experience with approval queues.
  • Working knowledge of automated accounting systems.
  • Effective communication, organizational, analytical and problem-solving skills.
  • Ability to be self-motivated, work independently, exercise good judgment and prioritize is required, as is a good knowledge of PC-based tools, including Word and Excel.


Preferred Qualifications:
  • UIUC Certified Research Administrator Certificate.
  • Working knowledge of automated accounting and data reporting systems.
