Position Information
The Purchasing Assistant performs a variety of duties related to initiating and processing of transactions using campus procurement and financial systems. Performs low-dollar purchasing functions for Maintenance Repair Operation (MRO) commodity; monitors and maintains office supply inventories. Ensures required data is entered into procurement system (eBuy) to facilitate timely and accurate payment through the accounts payable office. Orders office supplies for Facilities Services Administrative personnel. Performs various administrative duties as needed or requested.

Facilities Services provides exceptional service in maintaining an environment conducive of teaching, learning, living, working and research for the entire campus community. The department maintains buildings, facilities and landscape totaling over 6 million square feet across 1,350 acres of campus. Minimum Requirements
Five years' office and/or customer service experience; or an equivalent number of years of directly related work experience and education/training; a minimum of 1 year of experience in purchasing or accounting (AP/AR) role/environment.

Experience performing accurate and quick processing/entry/audit/reconciliation of transactions and balancing processes associated with automated procurement, purchasing, and accounting systems. Experience with computerized or online procurement system and financial systems, including experience with query tools.

Proficient PC Skills to create documents, spreadsheets, and reports using Word, Access, Excel, or other software applications; experience with exporting/importing data from or to various software applications; ability to perform independent research as needed. Strong mathematical skills and abilities and keen eye for detail.

Excellent customer service and interpersonal skills; ability to clearly communicate information to a variety of people in writing and verbally. Proven skill in listening, anticipating, interacting with the public and responding to the needs of customers to provide excellent customer service. Effective problem solving skills, including skill in identifying and bringing attention to problems that require special handling. Proven ability to resolve customer service issues quickly and tactfully. Ability to remain calm in difficult situations. Ability to develop and maintain effective, professional working relationships with campus customers, department personnel, students, staff, vendors, and visitors. Skill in maintaining a positive demeanor in challenging circumstances.

Experience in working independently on diverse assignments with conflicting deadlines with frequent interruptions while maintaining confidentiality. Proficient in prioritizing and managing multiple projects simultaneously. Excellent organizational skills. Ability to work independently and follow through on assignments with minimal direction.

Ability to apply discretion and maintain confidentiality when handling sensitive information and data.

Ability to sit, walk and stand for variable periods. Ability to use computer, keyboard, telephone, and other office equipment. Ability to bend, kneel, stoop, lift, carry objects such as boxes of materials weighing up to 35 pounds, by hand or with the use of a cart or hand truck. Ability to use a two-way radio and learn basic radio codes.

Hired candidate must pass a background check through the Department of Justice (DOJ) and Federal Bureau of Investigation (FBI) prior to appointment start date.

Preferred Qualifications
Knowledge of UCR campus, university policies and procedures and the UC Riverside Financial System (UCRFS).

Knowledge of Maintenance Repair Operations (MRO) commodity.
