Advertised Job Summary: Administrative Assistant is responsible for supporting the Athletic Director and Vice Chancellor of Intercollegiate Athletics and various administrative functions within athletic department. 1. Performs administrative duties for the Athletics Director: a. Schedule meetings/assists with calendar b. Prepare & submit travel forms for reimbursement c. Draft routine correspondence for AD signature d. Prepare documents for meetings with staff and head coaches. e. Review and sign off on any documents requiring Athletic Director's approval during his absence. f. ITAMS approver for athletic staff g. Prepare & submit paperwork for monthly car allowances (AD, Head Coach MBKB, Head Coach WBKB) 2. Other administrative duties: a. Prepare all game contracts for each sport as needed; and maintain book with contracts initiated by other institutions. b. Maintain corporate partnership revenue spreadsheet; invoice partners, and provide report to Athletic Director as needed. c. Maintain foundation records for athletic accounts; make deposits; submit check requests; request transfers, and provide monthly report d. Point of Contact with Hotel Mgrs/Obtain rooms for recruits/visitors; maintain spreadsheets for each hotel and provide reports as needed. e. Assist with coordination of special events hosted by athletic department (auction, golf tournament) f. Maintain season ticket holder & UClub spreadsheets; invoice as needed. g. HR contact: prepare administrative documents pertaining to new hires and rehires. h. Prepare contracts for new coaches; prepare coaches extension letters and contract extension forms each year or as needed. i. Maintain spread sheets for all employment: Coaches Tracking Sheet, Dual Employment, Part-time hires; Re-hires; Bus Drivers & Volunteers
Minimum Qualifications (Classified and Unclassified positions): Bachelor's degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency. Requires valid drivers license and good driving record. Successful background check is required.
