Job Description

About the Position

The Business Manager serves as a direct support to the Director of Finance and Business Operations (DFBO) and head of school. Primary duties include leading budget and financial management processes for NACA; partnering and communicating effectively with school-based staff to ensure successful management of payroll, benefit and timekeeping systems and state, federal, personnel and taxation compliance.

Budget and Financial Management
  • Ensure successful operation and execution of budget and financial management systems for NACA and other fiscal projects as led by the Director of Finance and Business Operations (DFBO)
  • Work with the school governing body and school administrative leadership to establish financial goals, projects, policies, procedures, methods and controls
  • Develop and maintain positive working partnerships with our school bookkeeper and other key staff including planning and establishing regular and predictable meetings and communication avenues to facilitate the smooth functioning of financial systems
  • Prepare monthly bank reconciliation and financial statement reports
  • Prepare all Budget Adjustment Revenues (BARs)
  • Advise school administrative leadership on all financial matters including funding shortfalls and anticipated BARs
  • Work with school administrative leadership to prepare and maintain the school budget
  • Serve as chair of the Finance Committee for governing body which includes providing data, reports and utilizing the EPSS/OBMS in creation of the annual NACA budget
  • Prepare monthly reconciliation of General Ledger
  • Ensure that fixed assets are accounted for as required by the Standard Accounting Practices
  • Manage NACA cash assets

Payroll, Benefit and Timekeeping Systems Management
  • Oversee the implementation of all payroll, benefits and timekeeping systems
  • Inform principal and governing bodies of new and relevant Albuquerque Public Schools (APS) and NM State Public Education Department (PED) budget policies
  • Work collaboratively with school administrative leadership in overseeing Legislative and Bond Appropriations as well as Capital Acquisition
  • Administer school workers' compensation insurance program by investigating and processing all claims and maintaining records
  • Create, update and maintain internal procedures and policies and they are being adhered to within the school organization

Federal, State, Personnel and Taxation Compliance
  • Provide annual summer trainings to all staff in the form of workshops that instruct staff how to request purchase orders (POs), adhere to procurement and other relevant internal procedures
  • Work with the Audit Committee and attend associated meetings
  • Ensure schools follow and adhere to the state procurement codes
  • Manage all financial reporting for any grant monies
  • Prepare all financial Albuquerque Public Schools (APS) and NM State PED reports in a timely manner
  • Understand and implement state auditor's rules
  • Ensure that Requests for Reimbursements (RFRs) processes from all funding sources are completed in a timely and compliant way
  • Attend required trainings hosted by database system provider, Albuquerque Public Schools (APS), NM PED and the New Mexico Association of School Business Officials (NMASBO)
  • Assist administrators with STARS reporting

Candidate Requirements

  • Bachelor's degree required or Master's degree preferred
  • Relevant certifications in related field(s) preferred
  • Certified School Business Official or have prerequisites for certification preferred

Prior Experience
  • Three years in a similar business manager role
  • Possess advanced skills in utilizing HRIS, benefits administration, time keeping, payroll systems and AP/AR systems
  • Familiarity and fluency in nonprofit financial management
  • Proficiency in Microsoft Office programs, specifically an intermediate or advanced knowledge of Microsoft Excel and internet research

Work Demands
  • Training will be provided to further orient the Business Manager to the mission and goals of NACA
  • This role will require limited travel (reimbursed for associated costs by NACA)
  • Primary work location is the Native American Community Academy (NACA) main campus near Old Town in Albuquerque, NM
  • There are occasionally schedule aberrations to meet the needs of NACA which periodically require working weekends and/or evenings

Salary for this position is competitive and depends on prior experience. In addition, a comprehensive benefits package is included.
