Position Summary


At Stony Brook Medicine, The Patient Access Registration Supervisor will have primary responsibility, with Sr Manager, Registration Services collaboration, for the coordination and day to day operation of the Emergency Department. Will implement all new protocols and ensure staff understand and utilize these tools. That will include registration, financially screening and auditing of demographic and financial information obtained at the time of registration. Will provide on-going daily staff direction re registrations, co- payments, and financial screening.

Qualified candidates will demonstrate excellent communication skills, interpersonal skills, knowledge and understanding of patient care and effectively respond to changing patient needs by making decisions based on ethical principles and adhering to our high standard of excellence.


Duties of the Patient Access Registration Supervisor may include the following but are not limited to:


Registration ED Manager -

Responsible for management of ED registrations and, as assigned, hospital Patient Access Services for onsite areas including Heart Center, ASU, Radiology Level4 and front Desk Level 5.

Verify all encounters are accurate, financially cleared and complete. Monitors staff to ensure accuracy and completion of financial screening/copay collection. This will ensure the most accurate billable accounts in a timely manner in order to avoid Insurance denials.


Set KPIs/Standards for Registration Benchmark and create measurement of Standards against workflow throughout the ED to confirm Best Practice worflows are being consistently followed.


ED Workflow

Works with supervisors, lead staff and first line staff as necessary to ensure that services are consistent by monotoring schedules, confirming coverage and responsible for 24/7 coverage. Works to develop and improve process and infrastructure. Works with inter/intra-departmental staff and Patient Access team to ensure efficient expedited complete registration services supporting billing, patient experience and quality. Initiates workflows to eliminate redundancy. Responsible for supporting departmental goals for Point Of Service cash collections and past due balances.


Financial Services/Real Time Insurance Verification/ Copay Collection –

Responsible for managing staff follows protocols set for financial screening, cash collection eligibility, and financial screening authorization, as appropriate, with registration for the ED and Inpatients. Works with Financial Counselors and Financial Service Division leads to ensure 100% bill ready encounters. ED registrations are reviewed in Real Time. Works proactively to reduce Self Pay bad debt.


Department Quality Improvement -

Report metrics, QA improvements and opportunities. Guarantee training is complete and staff all meet training and compliance standards. Works in collaboration with QA & Training, measure, document, analyze reports / KPI, and identify areas of opportunity to reach quality goals of denial reductions by insuring timely completed, clean and billing ready registrations. . Ensures employee competencies are up to date. Ensures quality, provides staff support, guidance/discipline• as appropriate.


Emergency-

Ensures that patients who are seen through the ED, observation and upgraded to Inpatient from ED are fully registered so that the follow up team has complete information and appropriate signatures, as required.


Administrative Responsibilities

Oversee management of staff schedules as appropriate. Administrative and compliance responsibilities including Performance Programs and Evaluations, supports timekeeping for those staff in your line of responsibiity, including direct reports and those who report to them, are completed timely and reflective of staff performance and expectations.

Support Sr. Manager to ensure Patient Access Quality, Safety, Compliance and Revenue Cycle goals and all other duties as assigned are met.Completes other duties as assigned by Director, Patient Access Services to support Patient Access Services, Compliance, Safety, Quality and Revenue Cycle goals.


Qualifications


Required Qualifications: Bachelor’s degree. Ability to measure statistics as well as working knowledge / experience in registration and financial services in a Hospital , or Health Care Ambulatory setting. 5-7 years supervisor / management in Patient Access or related field with experience in monitoring supervisors and others in a management setting as a manager.


Preferred Qualifications: Master's degree preferred.
