The Library Specialist performs a wide range of complex and/or interrelated duties involving a high level of decision making within one or more functional areas of a library. Applies knowledge of overall system and works mostly independently with a high degree of initiative. May supervise employees and manage a unit or after hours operations by overseeing daily operations and updating and maintaining facilities and equipment.

Core Duties:

Facilities and Financial
  • Manage daily operations of a library unit to include circulation, serials, course reserves, public services; ensure sufficient staffing during all open hours.
  • Verification of Departmental Purchasing card transactions.
  • Monitor the Equipment, Materials & Supplies budgets.
  • Participate in the development, implementation and interpretation of policies concerning the organization, circulation and care of the collection.
  • Order and maintain work supplies for library.
  • Serves as liaison with appropriate SUL departments such as Serials, Binding and Finishing, Conservation, Privileges, etc.
  • Serve on library committees or groups as required or needed.

    Public Interaction
  • Apply public service skills to resolve circulation problems and promote patron satisfaction.
  • Interact with management and colleagues within and outside the functional area.
  • Lead library orientation tours.

    Materials Processing
  • Set up procedures and oversee materials processing work especially for serials, recordings, and scores.

    Supervision
  • Hire, train, supervise, evaluate and schedule staff and student assistants.
  • Review/Approve time cards.

    Collection Maintenance
  • Plan and supervise work associated with collection shifts and transfer of materials.

    Reference
  • Answer directional and informational questions and assist users with ready and basic reference questions.
  • Instruct users in the use of the library catalog, databases, and other information resources.

    Computing Support
  • Use on a daily basis common computer programs such as word processing, spreadsheets, Web browsers, and email.
  • Use chat software to answer patron questions.
  • Use library content management system software.
  • Perform the duties of Expert Partner, providing first-level technical support for the unit.
  • Troubleshoot and resolve complex technical issues.

    Project Focused Work, including job duties such as:
  • Serve on library committees or groups as required or needed.
  • Plan and supervise special projects as needed, including annual stacks measurement project. Compiles, analyzes and reports needed statistics.


    Minimum Education and Experience Required:
    Bachelor's degree plus three or more years of experience in an academic library, or equivalent combination of education and relevant experience.

    Minimum Knowledge, Skills and Abilities Required:
  • Experience with direct interaction with patrons.
  • Demonstrated organizational skills.
  • Able to apply judgment in choosing procedures and evaluating alternatives.
  • Demonstrated ability to perform detailed tasks accurately and efficiently.
  • Demonstrated ability to be flexible and work well under pressure.
  • Record of excellent attendance.
  • Experience using or ability to learn one or more library automated systems.
  • Knowledge of or ability to learn Library of Congress call number systems.
  • Proven track record with handling complex procedures from beginning to end.
  • Experience in searching online catalogs/databases.
  • Experience working in an academic or large public library system.
  • Demonstrated supervisory experience in complex environments.
  • Proven experience in day-to-day oversight of a highly variable workplace.
  • Exhibit strong analytical skills.
  • Proven ability to apply sound judgment and seek constructive solutions to problems.
  • Background in managing projects with help from individuals and as part of a team.
  • Ability to take initiative, plan and prioritize work, and meet deadlines.
  • High degree of comfort in the use of computers in a networked environment for word processing, spreadsheets, database management, financial systems, and communication.
  • Demonstrated ability to learn and synthesize new information quickly.
  • Ability to communicate effectively in oral and written English.
  • Proficiency in using SirsiDynix's Symphony.

    Other Relevant Knowledge, Skills and Abilities may include:
  • Knowledge of the structure and organization of Stanford University Libraries.
  • Academic background or in-depth knowledge of classical music and ability to read music through significant coursework or personal experience with a BA degree or equivalent in music highly desirable.
  • Proficiency in using SirsiDynix's Symphony.
  • Excellent public service skills with a strong patron oriented service philosophy.
    Certificates and Licenses Required

    Physical Requirements
  • Ability to push a cart weighing up to 650 lbs. that requires an initial push force up to 70 lbs.
  • Ability to work in an environment that is dusty and or moldy.
  • Ability to lift books that are up to 10 pounds.
  • Ability to kneel and reach.
  • Must be able to stand for many hours.

    Working Conditions
    Occasional evening or weekend hours may be required.
