ADMIN COORDINATOR

Duties: This position will provide high-level administrative support for the Director of the CAVOQER Center and the Associate Director E, including, but not limited to, calendar coordination and scheduling; preparation of meeting materials, including creation of Power Point presentations and compiling information from various entities; compiling of reports, filing, coordination of conference calls, mail pick-up and delivery, travel arrangements, processing reimbursement requests in Concur system, and managing central filing for the Director.

This person will also communicate with Division faculty and staff on behalf of the CAVOQER Center Director for important announcements, answer/redirection of questions, updates, and follow-up. This will involve drafting up said announcements and updates based on unit activities, determining the cohort that will receive said announcements, and working with the faculty and staff to follow-up and address questions independently. The administrative coordinator will also be responsible for coordinating the implementation of division activities including, but not limited to, events coordination, annual meetings, conferences, and other relevant events. This can include independently working with internal and external entities to making travel and hotel reservations in accordance with university policies, ordering meals and catering, space reservations for unit and joint events, drafting and disseminating agendas and other related activity materials.

The administrative coordinator will also be responsible for assisting in research-related responsibilities such as document completion, submission and compilation, where needed.

Qualifications: A High School Diploma or GED and 5 years to 7 years of experience, or equivalent combination of education and experience, are required; Bachelor s degree preferred.
At least 2 years in a staff assistant/administrative assistant role preferred
Good working knowledge of medical terminology and grant proposal process a plus
Experience with Microsoft Office products, electronic mail and calendar programs
Excellent interpersonal skills
Ability to take direction from multiple supervisors and prioritize assignments
Effective communication skills
Ability to work under pressure deadlines with limited supervision
Must be flexible and highly organized
Knowledge of Penn campus, policies, and resources preferred
