Primary Function of Organization Unit: The Office of Contracts and Grants oversees post-award administration for NC State University. Contracts and Grants staff supports department and college Research Administrators, faculty, and staff by managing the cornerstones of Post-Award Administration including: project ID setup, deposits, invoicing, letter of credit draws, accounts receivable, financial reports to sponsors, new award/attribute review, audit coordination, prior approval request approvals, regulatory checklists, effort reporting and general compliance oversight.

Essential Job Duties: The primary purpose of this position is to be a Team Lead and perform the essential duties of a Fiscal Assistant. The Sr. Fiscal Assistant Position provides vital support to the office of Contracts and Grants. This support includes mentoring and training the Fiscal Assistants while also reviewing Contract and Grant agreements to identify essential information needed for the establishment of project ids and accurate posting of budgets. The work associated with this position requires extreme levels of accuracy which impact the retrieval and analysis of financial information for the maintenance of the project Accounts Receivable and Facilities and Administration Cost Proposal. Duties and responsibilities include, but are not limited to: - serve as the first point of contact for assisting, guiding and mentoring two other Fiscal Assistant positions in the timely and accurate entry of financial and chart-field data related to new externally-funded contracts and grants, and their corresponding segments throughout the project period - serve as the first point of contact for training the Fiscal Assistant on the key skills and assisting them with accounts receivable reconciliation (includes invoice voiding and payment posting) - pre-award management: review, interpret and approve/deny budget reallocation request, and request to extend performance period, analyze cash flow, identify changing regulations and requirements as well as properly recognize unusual trends and/or transactions for further review, manage the closeout process for sponsored awards - review of all associated contract terms and budgets to ensure consistency and accuracy of data entry - assist with monthly cash reconciliations of contract and grant projects - assist and perform account reconciliation and cash management of Contract and Grant accounts - identify and correct routine financial problems related to account setup, invoicing or cash management - assist with maintaining the accuracy of the inactive file databases and files while ensuring the university adheres to University and State guidelines pertaining to file retention. - provide support to the Fiscal Manager, Accounts Receivable and other management positions within the office through review and taking necessary action on financial transactions

Minimum Education/Experience:

Department Required Skills: Understanding of Generally Accepted Accounting Principles (GAAP). Strong analytical and verbal/written communication skills. Strong computer skills including MS Word, Excel, Access and other software routinely used in a business setting. Excellent Customer Service skills. Ability to lift boxes weighing 20-25lbs with or without reasonable accommodation.

Preferred Experience, Skills, Training/Education: At least two years post award experience in the administration of sponsored awards. Experience with PeopleSoft Financial Systems. Knowledge of the University and State financial processes.
