Occupational Summary

Coordinate and perform duties to manage the activities of the Cancer Control and Population Sciences Program. This includes working with CCPS Directors to create the vision for the program and have significant contributions to planning activities.

Work Performed

Co-Leaders Support
  • Assist with the information gathering and production of competing and noncompeting core grant materials and ESAC annual reviews
  • Schedule, prepare, and order lunch for meetings pertaining to Cancer Control business
  • Assist with Outlook calendaring

Members Support
  • Manage/event planning for the Seminar Series (monthly), Pilot Studies Program (annually), Poster Fair (annually), Steering Committee meetings (monthly), Retreats (annually), and 9+ working groups (monthly) that bring together faculty members of CCPS
  • Coordinate faculty recruitment visits
  • Design and produce all materials for member activities
  • Track meeting attendance
  • Work with DCI to maintain accurate member information
  • Work to create a more collaborative research program

Financial Support
  • Reconcile corporate card activities
  • Reconcile travel
  • Maintain records of CCPS expenditures

Operations Support
  • Coordinate internal office moves
  • Order CCPS office supplies
  • Maintain on-site file rooms
  • Coordinate bi-monthly staff meeting and lunch
  • Coordinate staff appreciation outings and mini-retreats
  • Perform other operations tasks as assigned by Co-Leaders

Expectations
You are responsible for effectively managing your workload, seeking help when needed. You will communicate frequently with your manager to keep them up-to-date on your team, its work and issues as they arise. You will work closely with your manager to implement departmental & Duke Policy and initiatives.

You will adhere to your core work hours; time off requests will be submitted to your manager per departmental & Duke Policy. When the unexpected happens you may be called upon to provide coverage outside your core work hours.

You will know and comply with the regulations, rules and Standard Operating Procedures for your department, DCI, Duke Medical Center, School of Medicine, OncCRU, the Office of Research Administration, and the Duke Office of Clinical Research.

You will know and comply with Duke's rules, regulations and responsibilities as noted in The Duke Employee Handbook and on the Duke HR website.

Qualifications Required At This Level

Education/Training
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience
Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events; OR an equivalent combination of relevant education and/or experience.

Skills
Ability to provide guidance and direction to program staff, including setting standards and monitoring performance.

Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.

Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.

Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.
