Responsibilities:

The Staff Assistant (AC) resides in the reception in the Global Resilience Institute (GRI). He/she will serve as the first voice and face in this highly visible position. The ideal candidate will report in to the Executive Assistant to the founding Director. The Staff Assistant will provide administrative support to GRI, responsibilities include but are not limited to: front office operations, coordinating travel and logistics for institute visitors, conference room scheduling, assist in event planning, monitor office equipment and office supplies maintenance. He or she will help to create and submit monthly (Concur) expense reports, prepare mailings, and other GRI materials as needed. The Staff Assistant will also support the Executive Director at GRI with data entry, and any additional ad hoc research projects as necessary. He or she is expected to provide additional support to the Global Resilience Institute staff as necessary. Occasional special event work and travel may be necessary outside of normally scheduled hours.

This position requires strong interpersonal skills. This individual must be self-motivated, able to manage workload independently, able to prioritize and manage multiple ongoing projects with a demonstrated attention to details and outstanding time management skills.

Qualifications:

Associate’s degree required with a minimum of 0- 2 years of administrative experience, academic environment preferred.
Individual must have ability to be flexible and responsive to changing demands and circumstances, creative, self-directed, and be an effective member of a team. Problem solving skills and ability to work effectively with a diverse population are essential.

Individual must have strong organizational skills and be detail oriented. Must be able to multi-task, work independently as well as exercise discretion and judgment in areas of responsibility. Requires excellent written and verbal communication skills to able to communicate effectively with the public, faculty, vendors, designers, and administrative contacts throughout the university.
Must be a clear and competent writer, be proficient with Microsoft Office Suite.
Must be able to create, monitor, and maintain expense reports.
