Executive Assistant, Chief Advancement Officer
Schedule Information: Mon-Fri 8 am to 4:30 pm
Hours Per Week: 37.5

Duties of Position: Responsible for providing administrative assistance to the Chief Advancement Officer and providing professional expertise and support for Foundation staff and the Harper College Educational Foundation Board of Directors. Supports the Chief Advancement Officer with operations and organization related to the College’s fundraising, grants and alumni programs.Plans, organizes and manages the workflow for the office and the Chief Advancement Officer in a professional manner. Maintains the Chief Advancement Officer’s calendar and helps prepare for meetings in a complete and professional manner by creating and maintaining calendars, briefing reports, involving other individuals, as appropriate, and making appropriate arrangements. Independently represents the Chief Advancement Officer to internal constituencies through the interpretation of policies, procedures and other matters. Independently represents the Chief Advancement Officer to external audiences by helping manage relationships with donors, Board Members and other external constituencies. Helps create and ensure accuracy in the preparation of written materials, including Power Point presentations, proposals, charts, proposals and correspondence in support of the Chief Advancement Officer. Exercises professional judgment to interpret and communicate policies and procedures for the Chief Advancement Officer. Investigates, organizes, interprets and prepares appropriate written responses (via email and printed letters) for matters received in the office of the Chief Advancement Officer. Provides support for the Foundation’s scholarship, community relations, resource for excellence grant and art collection programs by working with appropriate staff, College departments and outside audiences. Maintains the confidentiality of the Foundation Office and represents the Chief Advancement Officer in a professional manner. Processes and accurately maintains department personnel files, donor records and other records in a confidential and professional manner. Maintains and records inventory of supplies. Works with donor database, Raiser’s Edge, as needed. Performs other related duties as assigned.
Educational Requirements:Associate's degree or equivalent experience and specialized training office skills. Advanced computer skills training.
Experience Requirements:Five years of progressively responsible experience and demonstrated executive skills. Outgoing personality and exemplary professional skills are essential. Expertise with Word processing, Power Point, constituency data base, preferably Raiser’s Edge, Desktop publishing and Excel required.
