Occupational Summary

Senior member of the School of Medicine Implementation Team charged with supporting decentralized units across SOM with their efforts to implement new technologies, policies, and business process enhancements. Implementation efforts for the next 6-12 months will focus on two primary scopes of work: 1) providing ongoing support to maintain a current status for sponsored project closeouts, and 2) preparation and rollout for MRH-Research Administration.

As it relates to these objectives, perform complex process analysis functions, documenting existing processes and making recommendations based on best practices and appropriate data.

Advise manager in creating infrastructure for management center/SOM oversight. Partner with departmental leadership to facilitate operational changes that result in effective and efficient service to the faculty, streamlined process within the unit and to/from central offices. Evaluate impact of process changes in terms of criteria that may include budgetary, customer service, optimization of organizational structure, effectiveness, efficiency, and compliance.

Work Performed

The following categories and associated percentages may vary considerably depending on the status and needs of each initiative. Unit Business Process/Policy Analysis (departments, centers, institutes) Business Process Analysis Map current business process to provide a foundation for defining business activities and improving business processes.

Document inefficiencies or gaps in existing processes and recommend specific changes to achieve improved efficiencies. Perform data collection and analysis to assess progress. Lead team efforts for analytical reviews. Define and quantify specific cost savings opportunities from instituting process changes; recommend improvements/changes supported by well documented business plan.

Assist managers with implementation of emerging business process improvement processes. Partner with internal and external resources to drive change process, assisting with communications and training requirements as necessary.

Implementation of New/Changing Policies Assist managers with implementation of policy changes. Partner with internal and external resources to drive change process, assisting with communications and training requirements as necessary.

Assist supervisor and other colleagues in the coaching and support of departmental leadership and staff with respect to preparedness assessments, creation of new standard operating procedures and development of relevant metrics. Conduct training efforts in support of approved initiatives.

Rollout of New Technology Tools Develop test scripts and documentation for the MRH/RAP, including initial rollout and subsequent releases.

Create process maps and work flow diagrams for process changes, performance improvements and procedures including existing and future states.

Partner with internal and external resources to drive change process, assisting with communications and training requirements as necessary.

Assist managers with implementation of business intelligence tools and related systems. Share results of implementations with others and recommend changes based on experience and evidence. Provide written reports and deliver presentations consistent with the scope of the work.

Management Center/School Business Process/Policy Analysis Advise manager in creating process and provide reporting for management center/SOM oversight of code closeout under "clean closeout" approach that is the department's responsibility.

Determine reporting needs, frequency of report distribution, actions to be taken, and approach for escalating issues to senior leadership Identification of systemic process issues and barriers to clean closeout.

Facilitate issue resolution within and across units Facilitate issue resolution within management center central offices well as institutional central offices (including OSP,ORA, DOCR, etc.)

Evaluate and identify organizational structures, assignment of research administration work within the unit, opportunities for shared services within and across units to improve service to faculty; evaluate administrative efficiency in unit and central roles to improve effectiveness and efficiency of research administrative process and increase process consistency across units.

Communication Execute strategies developed by Business Lead (s) that increase awareness of project initiatives and promote/promulgate related policy and process changes to various stakeholders - e.g., collateral materials, presentations, websites, reference guides.

Research, draft and compile data/information needed for facilitating project progress and reporting on issues and solutions

Education

BA/BS degree in Business or related field.

Experience

Four years of related process analysis, activity assessment/redesign. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
