Education and Fellowship Manager (Administrative Services Administrator 2) Description: Stanford Bio-X seeks a talented individual to work in one of the nation's leading interdisciplinary biosciences research institutes. Stanford Bio-X thrives to catalyze discovery by crossing the boundaries between disciplines, to bring interdisciplinary solutions and to create new knowledge of biological systems, in benefit of human health.

Reporting to the Executive Director of Operations and Programs, the qualified candidate will manage all administrative and financial aspects of the organization's educational and fellowship programs. In partnership with the executive director, the candidate will play a lead role in the improvement of the programs and development of new programs.

Job Purpose:


Administer and support Stanford Bio-X education and fellowship programs under minimal supervision. Manage administrative aspects of academic programs, including graduate fellowships and undergraduate application solicitation, graduate and fellowship selection, appointment process, student stipend and tuition financial accounting, symposia and other events.

Core duties:
  • Lead the planning and operations for functions or programs that have significant business, regulatory and/or technical challenges requiring subject matter expertise.
  • Evaluate programs, policies and procedures. Identify issues, and develop alternative solutions which may include changes to programs, policies and procedures.
  • Review and analyze trends to advise and develop recommendations to achieve or modify the goals of the program or function.
  • Represent the program or function within the department, unit or school. Represents the program or function at the university level and/or to external constituencies.
  • Manage and contribute e to the development of outreach strategy that may include relationship development, communications and compliance.
  • May development and/or oversee budgets; manage finances including monitoring, analyzing, forecasting, and reporting.
  • Assess training needs and may develop associated training.
  • May direct and/or supervise staff. Minimum Education and Experience Required
  • Bachelor's degree and five years of relevant experience, or combination of education and relevant experience. Master's degree desired. Minimum Knowledge, Skills and Abilities Required
  • Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines.
  • Ability to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
  • Demonstrated creativity, problem solving, critical analysis, initiative, judgment and, decision-making skills.
  • Demonstrated ability to develop and meet budget goals.
  • Demonstrated solid planning and organizational skills.
  • Demonstrated experience working independently and as part of a team.
  • Excellent interpersonal, written and oral communication skills.
  • Strong relevant subject matter knowledge.
  • Ability to direct the work of others, for jobs requiring supervision. Desired Knowledge, Skills and Abilities
  • Advanced computer skills and demonstrated experience with office software, especially Excel spreadsheets and email applications. Experience with Drupal and Stanford administrative systems.
  • Ability to follow directions and pay attention to set policies.
  • Ability to routinely and independently exercise sound judgment in making decisions. Certificates and Licenses Required
