Job Purpose:

The Facilities Coordinator provides customer service, administrative support, and coordination of day-to-day operations and maintenance for buildings and grounds at the GSB Residences and Knight Management Center. Responsibilities include planning and coordinating work with University Shop staff and external vendors on a variety of Facilities projects, maintaining detailed records, coordinating updates to maps, way finding, and building directory signage for the GSB, and using various University software systems. Due to the nature of facilities services, must be able to work an 8-hour day ranging from 7:00 AM to 5:15 PM. Must be available for occasional overtime. Core Duties*:

Serve as property operations / maintenance point of contact for facilities issues; initiate work requests, monitor completion; coordinate and monitor maintenance services completion; coordinate contract work, third party vendors; identify, recommend and implement building operations and process modifications to increase productivity and/or reduce costs, and coordinate maintenance logistics (to avoid conflicts with classes, events, etc.).

Complete project coordination by performing the assigned tasks within department projects; acting as a project coordinator/liaison; and overseeing and executing projects (limited to small, local projects), including their organization, scheduling, budgeting, and implementation.

Provide excellent customer service and general administrative assistance for Facilities & Hospitality; coordinate requests received via service request software, phone calls, emails, and walk-in customers.

Strong time management and organizational skills are essential including the ability to set schedules to track and prioritize multiple tasks despite interruptions and changing/competing priorities.

Good communication to keep team members and stakeholders informed on status of projects and tasks is a critical component of responsibilities.

Education & Experience:

Associate degree and three years related, demonstrated facilities management experience, or a combination of education and relevant experience.

Knowledge, Skills and Abilities:

Interpersonal skills, mature judgment required to interact effectively with a broad range of people, including faculty, staff, students, visitors, and vendors, both individually and in groups. Must perform effectively in a high-traffic, fast paced, customer service environment subject to continuous interruptions with strong commitment to providing excellent service at all times. Must be well organized with excellent verbal and written communication and a strong attention to detail.

Ability to coordinate multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates.

Excellent computer skills and demonstrated experience with office software and email applications such as Google Docs and Microsoft Office suite. Ability to learn new software applications.

Certifications and Licenses:

Valid Non-Commercial Class California Driver's License.

Physical Requirements:

Frequently stand/walk, sit, perform desk-based computer tasks, use a telephone.

Occasionally kneel/crawl, twist/bend/stoop/squat, grasp lightly/fine manipulation, and grasp forcefully, lift/carry/push/pull objects that weigh 21-40 pounds.

Drive vehicle day and/or night with non-commercial license.
