SENIOR PROGRAM MANAGER, School of Medicine (8910/G2017)
Reporting to the Program Director and working with the Associate Director, the Senior Program Manager will provide operational leadership to the Physician Assistant Program. This role develops and implements program initiatives related to successful program operations, admissions, student services, budget management and fiscal planning.
Oversight of Program Operations:
In partnership with the Program Director and the Associate Director, identifies and supports the program's administrative and operational priorities. Translates the program operational strategies into effective and measurable actions. Identifies opportunities for efficient use of time, resources and streamlining of administrative processes.
Develop and maintain accurate class schedules, student registration and student budgets. Problem solve with GMS Registrar and Financial Aid Officers issues related to PA student registration and financial aid. Distribute semi-automated letters to students regarding their progress and promotion.
Responsible for updating PA program website on a routine basis.
In collaboration with BUMC IT and WebAdmit Liaison adapts and maintains the annual PA admission application and the program supplemental application. Trains and supervises the Administrative Coordinator to screen more than 1,000 applications that are distributed to the PA Admissions Committee for review. This individual plans and implements the admission interview days, and coordinates the schedule of 28 admission committee members to interview at least 90 candidates over several days.
Serves as the main contact for all applicant inquiries, addressing up to 50 email messages and 15 phone inquiries per day during the most active cycle times. This individual recruits students to the program by representing the program at recruitment fairs and ensuring promotional materials are up-to-date.
Supervises the Administrative Coordinator during the on-boarding of prospective students ensuring that the incoming students are compliant with both university and ARC-PA accreditation standards.
Budget Management and Fiscal Planning:
Responsible for procurement, reimbursements to multiple recurrent and one-time vendors (including student workers, guest honoraria, clinical sites), approval of expenditures, reconciliation of financial statements and monitoring monthly spending to ensure budget neutrality. On average, there are 20 invoices per month that need processing.
Ensures program compliance with BU fiscal policies and procedures and may aid faculty with Concur reports.
Provides recommendations for resources needed to achieve short-term and long-term goals as they may impact the program's abilty to successfully meet its mission and goals.
Prepare fiscal-related reports for ARC-PA accreditation.
Serves as the program's point of contact to/from service providers (inside and outside of the program; facilities, HR, IT, faculty affairs, student services, procurement), ensuring that providers are apprised of the program's needs, and relevant information. This individual is responsible for oversight and implementation of event planning of student activities such as outings, social events, Orientation, White Coat Ceremony and Graduation.
3-5 years of experience and Bachelor's degree required. Master's degree preferred.
5 years of project management, program administration, or other relevant experience in education. Familiarity with Boston University systems and policies/procedures is preferred.
Well honed managerial, decision-making, problem-resolution and leadership skills are expected. Candidate must inspire a high level of commitment and performance. Candidate must have excellent problem-solving skills and judgment which will be used to skillfully negotiate to internal and external constituents.
Candidate will be expected to communicate in written and oral form with a wide range of audiences ranging from high school students interested in the PA profession to visiting dignitaries and School of Medicine leadership. Attention to detail and demonstrated ability to manage time and resources effectively are critically important.
