Duties: Reporting to the Director of Career Services, the Manager of Career Services Operations provides administrative support to the entire Career Services team. The Manager meets regularly with and takes guidance from the Director to ensure that the Department is operating efficiently and effectively; assists with preparation and administration
of $3M budget, tracking revenues and expenditures, and contributes to the overall direction of the office. The Manager serves as liaison between Career Services and Human Resources, assisting with hiring and onboarding of new employees. The Manager supervises front desk personnel who welcome and direct visitors to the appropriate staff member. She/he supervises the processing of Pre-Health recommendations and applications. The Manager assists with office-wide initiatives, manages payroll for over 50 staff members, initiates purchases and vendor negotiations. The Manager works closely with the Head of Administrative in MBA Career Management in coordinating facilities issues related to shared space and other issues as they arise, with VPUL Facilities Staff on renovation projects, and with the SAS Building Administrator. He/she works with technology vendors, and serves on the administrative team for Handshake, the career center platform. The Manager plans and coordinates office events, and works closely with caterers and other vendors.

Qualifications: A Bachelor's Degree and 3 to 5 years of experience or equivalent combination of education and experience is required. High level of organizational and communications skills. Knowledge of budget preparation/management, Excel and other software programs. Knowledge of Penn financial systems preferred; willingness and ability to learn financial systems quickly required. Must be adept at working with individuals at all levels, within and outside the University. Ability to supervise, motivate and coordinate employees. Ability to set and adjust priorities, learn new information. Experience with facilities issues and in managing events. Knowledge of Career Services recruiting platforms and other vendors strongly preferred.
