Advisor/SEVIS Specialist (Student Services Professional II, Probationary, Full-time)
Cal Poly Pomona is one of two polytechnic universities in the 23-campus California State University system, and one of only seven such institutions nationally. Located 30 miles east of Los Angeles, the university is in one of the most dynamic economic and cultural regions of the country. The University is noted for its scenic and historic 1,400-acre campus, once the winter ranch of cereal magnate W.K. Kellogg, located within an hour's drive of beaches, mountains, and desert.
The International Center supports Cal Poly Pomona's international initiatives by leading student and faculty mobility, including Study Abroad and Exchange programs and the International Student and Scholar services, which maintains the university's SEVIS compliance. The Center advances global citizenship, cultural competencies, and diversity of the university campus through its programs.
The Advisor/SEVIS Specialist will compile data on F-1 international students and J-1 exchange students to ensure timely institutional reporting compliance; independently implement, monitor and evaluate the SEVIS batch processing; gather, coordinate, and input data to databases and submit batch on regular basis; troubleshoot and reconcile data discrepancies in PeopleSoft, SEVIS and student and exchange visitor records. The incumbent will monitor alerts and list in PeopleSoft and SEVIS and student exchange visitor records; monitor alerts and list in PeopleSoft and SEVIS and determine appropriate action for each record; serve as the interface with Data Warehouse, PeopleSoft and SEVIS; create, print and distribute I-20 and DS-2019 forms as necessary. The incumbent will maintain and present accurate reports on all SEVIS actions; ensure departmental collection of longitudinal data-enrollment, student success, study abroad and exchanges; prepare reports and analyses on retention for advisors, maintain departmental statistics and coordinate the annual report process for the International Center. The incumbent will serve as a Designated School Official (DSO) and provide detailed advising services often involving complex situations and sensitive, multifaceted concerns; assist in the development and administration of departmental procedures; independently advise international students regarding complex F visa regulations and exchange J-1 students on university policies and procedures by appointment, walk in, phone and email on a daily basis; check student's status and issue verification letters for multiple purposes; review and recommend eligibility for employment authorization, on-campus, off-campus Optional Practical Training, Curricular Practical Training, Curricular Practical Training, Severe Economic Hardship, in SEVIS and assists students with applications. The incumbent will communicate with international students to advise them on deadlines, changes, policies, requirements, activities, etc., communicate with students and exchange visitors via phone and email, assist the Coordinator as requested with special assignments; process holds and run reports on health insurance compliance; create and review departmental documents as assigned; participate in College campus outreach programs, events and committee assignments as well as perform other duties as assigned.
Bachelor's degree or equivalent in one of the behavioral sciences, public or business administration or a job-related field AND two years of professional experience in one of the student services program areas or in a related field. (A Master's degree in a job-related field may be substituted for one year of the professional experience. Additional specialized and relevant experience may be substituted for the required education on a year-for-year basis). General knowledge of the methods and problems of organizational management, research and interview techniques; ability to interpret and apply program rules/regulations, use initiative in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; ability to plan, develop, coordinate, supervise and organize programs and activities; ability to interact with a diverse student population, faculty, staff and the public; ability to analyze complex situations accurately and adopt effective courses of action; ability to advise students individually and in groups on complex student-related matters; ability to complete assignments without detailed instructions; and ability to establish and maintain cooperative working relationships with a variety of individuals. Excellent verbal and written communication skills as well as the ability to acquire knowledge of the campus procedures and activities and the overall organization is required.
Two years of professional student services work experience; two years of experience working with F-1, J-1, SEVIS, and compliance reporting; knowledge of J-1 regulations, basics knowledge of study abroad and exchange programs and advising F-1 students.
