Duties: We are seeking applicants for the position of Director of Administration. The preferred candidate would be responsible for the efficient and effective operation of the Dean's Office and would provide highly complex, senior- level support, relieving the Dean of administrative and business detail. Advise the Dean on policies and procedures and highly confidential issues. Provide senior level executive support, relieving the Dean of administrative and business detail. Participate in high level decision-making processes, and provide recommendations on actions to be taken and coordinating responses. Make decisions and take action independently and on behalf of the Dean. Serve as a trusted resource and advisor to the Dean.

Work with and manage senior staff and serve as primary liaison between the Dean and all constituencies. Supervise ancillary and administrative staff to ensure consistent support of the Dean's activities.

Manage scheduling and optimal utilization of the Dean's time; maintain up-to-date status on appointments and meetings and daily administrative requirements; vet and manage requests for meetings and social invitations not requiring Dean's time or attention; expeditiously manage or delegate projects as assigned with a focus on follow up and accountability for all deliverables on a timely basis.

Coordinate the scheduling of the Dean's public meetings and appearances with the Penn Dental Office of Development; coordinate speaking engagements, as well as visits from foreign scholars, dignitaries, academics, dentists and consultant.

Manage all travel and entertainment arrangements for the Dean and designated visitors; prepare related reimbursement forms and analyze reconciled credit card and procurement card statements; prepare expense reports while being cognizant of budget guidelines.

Qualifications: A Bachelor's Degree is required in related field with at least 5 to 7 years executive administrative support experience or equivalent combination of education and experience; must have previous experience supervising staff; previous professional level experience working in higher education or complex health care institution highly desired; excellent written and communication skills including ability to handle sensitive and confidential information with tact and discretion; must have high degree of initiative and creative problem-solving abilities; proficient in Microsoft products and software applications; demonstrated experience in event planning.
