Project Coordinator - Grants Compliance and Reporting
Bachelor’s degree in Business Administration, or closely related field, effective written and verbal communication skills, demonstrated ability to utilize technology, and the ability to prioritize and handle multiple tasks required. Higher education administrative experience and/or experience with accounting or related work preferred. Applicants must currently possess or be able to obtain a valid driver’s license which is required at the time of hire and throughout the duration of the appointment.
The Project Coordinator is responsible for assisting with the management of grants awarded to the College and the MVCC Foundation, Inc., including capital project grants awarded through the New York State budget process. This assistance is provided through developing and maintaining an inventory of grants received by the College, creating schedules relative to reporting requirements, assisting grant managers to monitor and ensure compliance with all grant requirements, and to assist and prepare required program and progress reports where necessary, which requires internal and external communications. Assist with the year-end audit process and work with the Business Office personnel to ensure proper accounting and compliance for all grants and contracts awarded the College.
Duties include, but are not limited to, the following:
Maintains an inventory of grants awarded to the College and the MVCC Foundation, Inc., including funding agency contact information, reporting requirements and timelines, and other relevant information;
Works with grant managers to ensure compliance with grant requirements, to insure allowable spending based on associated EDGAR and agency fiscal guidelines;
Prepares required reports and assists grant managers with program reporting and tracking for awarding agencies as appropriate;
Assists the Vice President for Administrative Services in preparing reports and forms required by State University of New York (SUNY) and Oneida County relative to requests for capital projects funding;
Works with the Vice President for Administrative Services and Director of Facilities and Operations to update and maintain the Internal Master Plan file;
Works with the Assistant Controller, Business Office Staff and Institutional Advancement Office Staff to ensure proper accounting and fiscal management of all grants awarded the College;
Provides support to the Business Office and Institutional Advancement Office during the year-end financial statement audit, and works with the external auditors to provide necessary information;
Assists the Vice President for Administrative Services and the Institutional Advancement Office Staff during the College budget preparation process in identifying opportunities to maximize the benefit of grants to the overall operating budget;
Assists with the research, vetting and development of grants;
Facilitates the development of a Facilities and Administrative indirect cost rate and subsequent required updates;
Works with College personnel and Grant Writers applying for grants to ensure the appropriate inclusion of the College’s Facilities & Administrative indirect cost rate;
Reviews grant documents prior to execution by the MVCC Foundation, Inc., Vice President for Administrative Services and/or the President;
Serves as the Perkins Grant Coordinator that works directly with the Perkins Grant Officer. Responsible for coordinating major effort advisory meetings; insures program compliance with allowable spending and associated deadlines; assists with required amendments and progress reports with the New York State Education Department (NYSED) and the Program Office where assigned;
Other duties as assigned by the Vice President for Administrative Services.
