Summary of the Position

The Executive Program Coordinator leads administrative and operational activities of the Office of Diversity & Inclusion (D&I). This position plans and manages several complex high-profile events which include internal and external participants. The individual helps to manage work flow in the office, implement marketing plans, oversee data management, and acts as the primary interface with other university departments related to a variety of initiatives, programs and events. S/he conducts internet research and manages the department website and social media presence. S/he may hire, train and supervise student employees.

The Office of Diversity & Inclusion works to foster an inclusive community by leveraging interactions between offices, educating the entire community, and working to increase the diversity at all levels of the University. While the office coordinates university-wide, diversity-related programs and initiatives, many other departments, centers, offices, and organizations at Bentley contribute to improving the diversity climate through varied and persistent efforts. The Executive Program Coordinator will join a team of three already engaged in working collaboratively with stakeholders internally and externally to drive diversity and inclusion efforts for the University.

Essential Functions

Program Management:
Manages several programs and events for the D&I office including student case competitions, workshops and trainings. Participates in planning and executing marketing plans and program logistics. Attends meetings and/or events and documents content. Participates in gathering information on external programs including performing internet research and summarizing findings. Designs, gathers and summarizes program evaluations.

Administrative Oversight:
Primary contact for internal and external associates. Prepares reports, memos, brochures, schedules, expense reports, correspondence and other documents for initiatives, programs and events run out of the D&I office. Manages data associated with department programs and events. May prepare presentation materials. May hire, train, submit time and supervise student employees.

Data Management:
Ensures that department databases are updated regularly. Tracks information and develops and runs reports to inform decision making.

Financial Oversight:
Maintains program budgets, reconciling expenses and contributions.

Marketing/Website and Social Media:
Designs and manages department website or coordinates publication of updates, implements social media marketing and outreach, designs materials for e-marketing or print publications.

Minimum Qualifications(Education and Experience Requirements)

A Bachelor's degree and 5+ years of related experience or an equivalent combination of training and experience. Experience planning and managing complex events and programs. Excellent written, and oral communication skills. Ability to work both independently and as part of a team. Experience working with diverse constituents and a general knowledge of the importance of diversity and inclusion in a University environment. Advanced mastery of MS Office Suite.

Preferred Qualifications

Experience with campus diversity initiatives and programming preferred.
