The Section of Emergency Medicine has an opening for a part-time (0.50 FTE), University Staff (unclassified) Administrative Assistant III position.

Job Summary:
The Department of Pediatrics, Section of Emergency Medicine is in need of a part-time (0.50 FTE) Administrative Assistant. This individual will assist the research team with research-related administrative activities, such as assisting with scheduling of meetings and events in conjunction with another, section-specific administrative assistant for the Director of Research. This individual will also support the Research Manager, Lead PRA, and other research staff as needed, specifically with meetings, requests for time off, creating and maintaining the ED schedule for the PRAs, and other tasks as assigned. This person will also assist with the hiring and onboarding process when needed, track inventory and order supplies and software for the research team, take minutes at meetings, and generally support the Section's principal investigators with whatever is needed for academic conferences. This Administrative Assistant will also assist with updating the research boards and keeping them current.

Examples of Work Performed: Under the guidance and direction of the Research Manager and Lead PRA, this position will:
  • Assist with coordination of interviewing, hiring, and onboarding new employees.
  • Track inventory and order supplies and software for the research team.
  • Responsible for creation and maintenance of PRA schedules, and assist the Research Manager in tracking sick and vacation time for the team.
  • Follow-up with all research personnel as directed by the Lead PRA to make sure all are up-to-date on educational and training requirements specific to their function and duties; keep a log of expiration dates of licenses, CITI certificates, trainings, etc.
  • Maintenance of Administrative SOPs (shared with RM, Sr. PRA, Admin. PRA), and proof-read research SOPs.
  • Coordination of monthly research staff meetings and visitors (such as PECARN members, Study PIs, Study monitors, Project Managers, etc.).
  • Assist participants with academic conferences (ACEP, SAEM, PAS, AAP; regional, national and international); including preparation for presentations of abstracts, manuscripts, etc.
  • Create meeting agendas and take minutes, plan, schedule, and coordinate meetings involving research protocols, set up conference calls.
  • Update research boards quarterly.
  • Assist with data projects as necessary and appropriate.
  • Perform other duties and tasks as assigned.

PLEASE NOTE: Candidates will be responsible for travel expenses related to the interview process and any relocation expenses, if applicable.

Salary and Benefits:

The hiring salary for this position is negotiable and commensurate with skills and experience. This position is eligible for overtime compensation.

Qualifications

Minimum Qualifications:
  • Three (3) years of general clerical experience, which included (1) year of experience working in an administrative assistant or equivalent position.

Substitution: College or university course work, appropriate to the work assignment, may substitute for the experience on a year-for-year basis.

Conditions of Employment:
  • Must be willing and able to successfully pass a 10 panel drug test.
  • Must be willing and able to successfully pass a national criminal background check.

Preferred Qualifications:
  • Four (4) or more years of experience as an administrative assistant or equivalent.
  • Experience with scheduling work shifts.
  • Experience working with an electronic medical records system.
  • Experience working with Microsoft Office Products (ex. Word, Excel, PowerPoint, Outlook).
  • Experience working with Financial Software programs and tracking systems.
  • Bachelor's degree in a related field from an accredited institution.
