Essential functions of this position:
The executive assistant will maintain the chief communication officer’s calendar, coordinating meetings and activities and will require the ability to make decisions on scheduling commitments to best utilize time. Employee will prepare materials for meetings and handle all travel arrangements and will serve as HR liaison for the chief communications officer.
The executive assistant will serve as a technology resource for the chief communications officer, working closely with IT to troubleshoot inter-connectivity challenges among digital devices, including Mac computer, iPad, iPhone, Blackberry and other equipment as needed.
The executive assistant will be responsible for scheduling coordination of student workers and interns, record-keeping, filing, departmental travel, departmental purchases, equipment inventories and other duties that are part and parcel of the day-to-day operations of OUR. This employee will also serve as the departmental leave-keeper.
The duties of this position require the capacity to function in a relatively autonomous manner. Excellent decision-making ability, diplomacy, tact and professional decorum and strong technological skills exercising a high degree of accuracy and competency are essential.
This employee must be self-motivated and demonstrate a proactive approach to duties and responsibilities. The position requires professional interaction on a frequent basis with campus leadership on behalf of the chief communications officer.
This employee must be prepared to excel in a fast-paced environment where schedules change frequently and assignments evolve throughout the workday.
N.C. Minimum Required Knowledge, Skills, & Abilities:
High school diploma or equivalency and three years of progressively responsible administrative/office management experience;
or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Additional knowledge, skills, and abilities required to perform the essential functions of the position:
Must possess strong writing, speaking, organizational and time-management skills
Must be able to work with multiple priorities and deadlines and have an excellent interactive style with a high degree of resourcefulness and judgment
Must be able to display a high degree of professionalism, diplomacy and customer relations
Must use judgment when responding to sensitive inquiries on behalf of the chief communications officer
Must demonstrate professional decorum when interacting with campus leadership, faculty, staff and students
Must demonstrate the ability to gather vital and sometimes sensitive information, assess it, determine the appropriate individuals to whom the query should be sent, and direct it accordingly
Expected to follow state/university policies and procedures while conducting university business
Daily work requires a demonstrated proficiency in working with Microsoft Office products including Outlook, Word, Excel and PowerPoint
Preferred education, professional skills and experience:
Demonstrated proficiency in working with Mac and Apple products is preferred but not required
The employee should have the ability to learn additional systems and software as needed to support the work of the chief communications officer
Recruitment Range: $35,650 - $39,611
NC Salary Grade Equivalency: 62
Hours Per Week: 1.0 (40 hours per week)

Work Days: Monday - Friday
