The Administrative Specialist II is responsible for researching and preparing special reports, examining and verifying documents, and performing general office duties. This position is governed by state and federal laws and agency/institution policy.
Duties & Responsibilities:
The Administrative Specialist II is responsible for monitoring phone calls and chat system.
Provide administrative support to the rest of the team.
Route any faxes received in the department to the appropriate staff member.
Scan transcripts for the next days processing
Complete any mailing projects such as diplomas, certificates and welcome packages as requested.
This position will supervise any student workers that are working between the hours of 5:00 p.m. to 8:00 p.m..
In addition to the duties above, this position will assist with answering phones for specific departments during their deadline/peak times as needed.
Knowledge of record keeping procedures, principles/practices of mathematics and statistics, computer and software applications as well as work-related subject area.
Ability to conduct research and compile data into report form, establish/maintain filing systems, operate standard office equipment, analyze documents to determine compliance with rules, regulations, and
procedures and the ability to communicate both orally and in writing.
Monday - Friday 12:30 p.m. to 8:00 p.m. with 1 hour for lunch
Saturday 9:00 a.m. to 2:00 p.m.
The formal education equivalent of a High School Diploma
Two (2) years of experience in a specialized or related area applicable to work performed
Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee.
