Administrative Specialist IJob Description:
- Assists Center Director in management and oversight of unit fiscal-related matters. This will include preparing and tracking Center budgets in terms of state, private, and federal inflows through allocations, gifts, and awards, staff salary funding allocated to MREC, and outflows in service of MREC’s research, Extension, and teaching mission. Specific responsibility for business-related affairs, including but not limited to planning, reporting, purchasing, payables, receivables, contracts, and internal control accounting. Key to this duty will be working closely with IFAS Shared Services Center on reviewing, reporting and reconciling both overall financial issues and grant management.
- Other administrative duties. Assists Center Director in establishment of priorities and deadlines and manages overall office activities, including supervisory work assignments. Obtains and manages security roles regarding personnel, temporary visitors, information technologies, and building safety to maintain compliance with university, state and federal regulations. Performs general support services to faculty and staff, including but not limited to managing email, calendar/schedules, travel arrangements for faculty and assist with compiling expense reports upon return. Manages correspondence, travel, and data gathering, analysis, and reporting on behalf of the Center Director. Assist the Director in scheduling, organizing, and coordinating MREC events.
- Maintain vital relationships through effective communication within MREC, among UF campus administrative units, and with outside allied organizations. This will include, but not limited to, team building among MREC faculty and staff, clear communication with other UF-IFAS off-campus REC’s and IFAS/UF units on main campus, and keeping key partners in industry and government informed and connected with MREC, especially MREC’s outside advisory council.
- Miscellaneous duties as assigned by MREC Center DirectorAdvertised Salary:
$50,000-$60,000; commensurate with qualifications and experience.Minimum Requirements:
Bachelor's degree; or an equivalent combination of education and relevant experience.Preferred Qualifications:
Knowledge of and experience with university and state regulations regarding human resources, fiscal and budget matters, and grants administration.
Must possess critical thinking skills. Analytical and problem-solving skills, including researching and analyzing complex data to develop accurate reports.
Must understand and practice excellent customer service.
Must possess a professional attitude that is conveyed in all interactions, communications and appearance. Ability to establish and maintain effective working relationships with faculty, administrative staff, and other campus departments.
Must be able to work well in a team environment. Take ownership of the resolution of problems, be flexible and accountable, manage conflicting responsibilities, prioritize tasks, and consistently meet deadlines.
