The Program Assistant Advanced-Confidential provides complex administrative support for the Senior Associate Dean of Finance (ADF) and the UW School of Medicine and Public Health (SMPH) Associate Director of Finance.
The incumbent will use a good working knowledge of the SMPH and UW-Madison policies and procedures to provide a broad range of administrative assistance required to meet departmental and SMPH operational goals. The incumbent will serve as the first point of contact over the phone and in person for visitors to the office of the ADF and the Associate Director, and represents the SMPH in a professional and courteous way in all contacts. The incumbent will use a thorough understanding of the activities and responsibilities of the ADF and Associate Director to independently direct inquiries and determine appropriate responses. By its nature and location, this position is privy to confidential records and conversations that directly affect the employer-employee relationship referred to in s.111.81(15) Wis.Stats. and include management activities and decisions that directly affect classified and unclassified staff.
Primary duties include management of the calendar for the ADF and Associate Director; scheduling meetings and obtaining and providing needed resources; contacting and making travel and other arrangements for participants. This requires frequent contact with other SMPH, University, and state and federal offices; preparing draft and final copy correspondence for the ADF and Associate Director; planning and making meeting and conference arrangements and travel arrangements for the ADF and Associate Director; taking and editing meeting minutes; and developing and preparing reports used in administrative, budgetary and human resource planning.
This position requires strong, demonstrated organizational and communication skills, the ability to monitor and coordinate sensitive and confidential matters, coordinate multiple tasks, and the ability to interact effectively with faculty, students, staff, and the general public.
Standard business hours are 7:45-4:30 p.m. Schedule can be flexible and will be determined at hire.
The starting pay rate will be dependent on the selected candidate's experience and qualifications.
