Responsibilities:

Reporting to the Assistant to the Senior Associate Dean, the Staff Assistant serves as the first line of contact for visitors and students to NU Global. He/she will have a broad knowledge base of the various programs within NU Global and will serve as the face of the department, providing a world-class global experience greeting and welcoming to enrolled and prospective international and domestic students, faculty/staff, and Northeastern University community members including alumni, visitors and corporate partners to NU Global. The Staff Assistant will provide seamless customer service by fielding general questions and inquiries, answering phone calls and referring calls and visitors to the appropriate staff as needed.
In addition to serving as the first line of contact for visitors, the Staff Assistant will provide support to the Senior Associate Dean's office and NU Global. The Staff Assistant will perform daily functions related to office administration such as calendar management, event planning, including initiating and coordinating regularly scheduled meetings and events, database management, developing and maintaining files, providing administrative support for various staff and faculty members, and maintaining effective relationships and good rapport with the full University community at all levels. Perform additional duties and assist in special projects as needed and requested.

Qualifications:

Bachelor’s degree and three to five years of progressive responsibility in an administrative support capacity in a fast-paced and service-oriented environment or relative combination of education and experience required. Ability to work in a highly flexible and innovative environment with an expanding role and shifting responsibilities. Strong interpersonal and written communication skills (including very strong writing and proofreading skills) required. High degree of diplomacy, customer service and organizational skills required. Demonstrated ability to handle multiple tasks simultaneously, responds to last minute requests, solve problems, act with discretion, adapt to change and maintain a professional demeanor at all times. Willingness to be pro-active, take initiative and ownership, and build win-win situations. Sound judgment and ability to deal effectively with highly visible and confidential matters is essential. Must enjoy meeting with people and handling needs of a wide array, diverse population of student, staff, faculty and visitors. Must be able to handle sensitive material, set priorities and work independently or as part of a team. High degree of proficiency with MS Suite Office, Outlook, Power Point, Apple/MAC and PCs, website and database management. The candidate must be flexible and willing to assume other duties assigned on a daily basis. Fluency in more than one language preferred. Some nights and weekend work required.
