(Job #17-52) Administrative Support Assistant II (ASA II), Admissions General Assistant, $2,539-$4,120/month. Appointments are typically made at the beginning of the salary range. This is a temporary, full-time, 12-month, benefited position in the Office of Admissions & New Student Programs.

Position Summary and Duties:

Under direct supervision of the Director of Admissions, this position is designed to support staff in the department of Admissions and New Student Programs, to be an integral part of a team working environment and to enhance the functioning of Outreach, Operations, and Orientation. There are many detailed steps in the application process, many documents that are submitted and many functions in the office to support this activity. This position will play a key role in streamlining business practices.

Duties include maintaining a travel calendar for Admissions Counselors, processing travel paperwork, registering for recruitment fairs, sending travel materials in preparation for recruitment events, and maintaining inventory of recruiting publications. It involves processing inquiry emails from applicants and prospective students and distributing to appropriate staff within the department. Includes uploading application materials into students' electronic file and updating Peoplesoft, our Student Information System and NOLIJ, our digital imaging system. This position assists in the processing of transcripts, both paper and electronic, in NOLIJ and Peoplesoft, scanning and archiving documents. There is also an opportunity to assist in preparation for and implementation of Yield events and Orientation. There are opportunities to partner with administrative support staff in the Office of the Registrar and Financial Aid on occasion for components of projects and other duties as assigned. Provide backup budget support to Enrollment management Budget Analyst.

QUALIFICATIONS
Minimum Qualifications:

Completion of a high school program or equivalent and some experience in an office environment.

Knowledge, Skills, and Abilities:

  • Strong organizational skills and attention to detail
  • Ability to work in fast-paced office environment and ability to switch tasks often throughout the day.
  • Demonstrated commitment to working with students and staff from diverse backgrounds, identities, and perspectives
  • Excellent written and oral communication skills
  • Proficiency with computer programs in the Microsoft Office Suite, as well as ability to learn new programs and processes
  • Ability to process confidential and sensitive information in a responsible manner.

    Preferred Qualifications:

    Preference will be given to candidates with demonstrated experience working effectively with a diverse population. Experience managing a variety of tasks throughout the day and paying attention to detail with a wide variety of information. Experience with contributing to making offices function with more efficiency.
