POSITION SUMMARY:

Responsible for coordinating and planning BF+DA programs including Venture Fellowship, Membership, events, space rentals, tours, and associated activities. Perform administrative duties for BF+DA Office operations.



POSITION DUTIES:
  • Organize calendar and interface with BF+DA team
  • Calculate budgets and ensure they are adhered to.
  • Create and update financial reports & metrics
  • Manage team & community calendars
  • Liaise with Pratt's staff associated with BF+DA operations and event activities
  • Support Mentorship Team run the Venture Fellow program
  • Lead coordination of Community Programming
  • Support Marketing & Community Director on developing and running Membership program
  • Coordinate and host BF+DA workshops, classes, meetings, conferences, shows, events and activities
  • Produce customized event contracts with time, schedule, cost, and associated details
  • Meet with clients, vendors, caterers, entertainers, florists and associated event providers
  • Schedule speakers, vendors and participants
  • Create invitee list
  • Send out invitations and manage RSVP list
  • Manage client correspondence
  • Coordinate schedules of catering and event staff, checking on items and guiding participants throughout the day.
  • Coordinate event logistics, covering registration and attendee tracking, presentation and materials to support event evaluations
  • Keep inventory of backdrops, projectors, computers, and other display materials.
  • Plan layout of setting including seating, functionality, equipment and decorations
  • Maintenance - repairs, electrical, internet issues.
  • Liaise with Digital Content & Communications Director and Marketing & Community Director on promotions


QUALIFICATIONS:

Education: Bachelor's degree or equivalent experience required.
Experience: Minimum five years experience required in related field, preferably performing arts.
