The Counseling Services Administrative Assistant position is a full-time position responsible to the Counseling Services Manager. This position serves as an information specialist for the counseling department. Primary responsibilities include responding to telephone inquiries and walk-in student questions, making referrals to appropriate staff, assisting with department projects, and helping with the efficient delivery of services to students.

Responsibilities:

Provide academic information concerning the catalog, class schedules, available degree programs, and adult and community education information.

Assist students and the general public with referrals to financial aid, assessment, academic units and other related offices and programs.

Assist with New Student Orientation (NSO) sessions.

Schedule appointments for counselors as appropriate and provide general assistance to Counseling staff.

Maintain and update the master schedule for the department including the schedule for part-time counselors.

Provide information on pertinent counseling-related activities and on current college activities.

Assist with special events such as College Night and high school counselor breakfast.

Coordinate correspondence and records related to the Early Alert System.

Remain current on academic, registration, and general college information and maintain a procedures manual of applicable college policies and procedures. Maintain list of key persons for referral.
Assist students with general information regarding career counseling and assessment instruments.

Take and type minutes for Counseling and Advising staff meetings.

Perform administrative tasks as required.

Supervises work study students (attendance, duties, etc.)

Coordinate processing of counselor evaluation forms.

Perform other duties as assigned by the Manager of Counseling Services.

Position Qualifications: High school diploma or equivalent required.

Minimum of two years related experience in an administrative/customer service position.

Ability to type 40 wpm with accuracy.

Excellent communication and human relations skills.

Bilingual Spanish/English desired.
