Senior Associate Director, Events and Venues
I. JOB OVERVIEW
Job Description Summary:
The Division of External Relations at the George Washington University is seeking a Senior Associate Director, Events & Venues to implement University programs and events. This position will report to the Assistant Vice President, University Events.
Responsibilities of the Senior Associate Director, Events & Venues include:
Directs and designs over 80 high level events on a yearly basis that are congruous with the mission of the university. Prepares and presents proposals that support strategies and themes for requested programs and events that reflect a high degree of creativity, originality and innovation.
Assists in compiling and documenting funding requests and in monitoring and controlling program funds. Monitors and reconciles office expense budgets. Develops and presents budgets, operational timelines, vendor recommendations and staffing needs for over 80 programs and events that successfully support the goals and objectives of the events and reflect the most efficient use of resources. Plans, writes and organizes invoices, memos, agendas, budgets, and logistical documents. Reviews event bills for accuracy and approve payment. Maintains filing system and material storage. Maintains records of event aspects, including financial and archival information. Represents the University in various forms in University events and related circumstances.
Oversees script development, determines staging and briefs all event participants. Provides timeline and feedback on briefing materials for programs and events. Partners with other University offices to execute and facilitate various segments of events. Organizes registration of event participants. Organizes walk-through of events facilitates to ensure that they conform to event requirements. Oversees the process of contracting for vendors, venues, University resources and coordinating staffing needs to deliver events and programs.
Develops and maintains methods for tracking and recording attendance as well as capitalizes on opportunities to collect updated information such as addresses and careers. Manages comprehensive and varied logistical activities, the guest registration and attendance information for the programs and events that are presented on and off campus as well as outside the Washington, DC metropolitan area.
Directs staff in managing office operations including daily customer service via email, phone, and web inquiries. Hires, trains, and supervises student office staff and volunteers (ranging from 8-200 at any given time) for event related tasks including, but not limited to, event services, the creation of marketing materials, customer service and support staff during events. Participates actively in team efforts including team meetings and weekly coordination calls, and oversee the maintenance of the overall calendar for development events.
Manages on-site programs and events execution, ensuring the successful implementation of the events through effective management, multi-tasking and the ability to handle contingencies expeditiously by rendering sound, on-the- spot decisions. Prepares and presents follow-up assessments to evaluate program effectiveness in reaching event objectives as well as considerations for future events design, planning and implementation.
Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 5 years of relevant professional experience, or, a Master's degree or higher in a relevant area of study plus 3 years of relevant professional experience. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications: Preferred Qualifications:
Experience in the design, planning, implementation and management of programs and events aimed at generating charitable donations.
Strong verbal and written communication skills.
Ability to exercise flexibility.
Familiarity with protocol, technical enhancements to programs and events (video, sound, etc.), along with an understanding of the utilization of physical space such as drawings and movement flow.
Excellent organizational and multi-tasking skills.
