The Office of the Vice President for Information Technology and Chief Information Officer is seeking an Executive Assistant to provide a high-level of administrative support to executives and/or senior administrators. If you are energetic, bright, and motivated with a history of strong performance, this may be the opportunity for you. This position will be responsible for coordinating highly confidential and sensitive internal and external communications to key strategic team members, daily office administration, complex projects and events, meeting logistics and planning, travel coordination, purchasing and budgetary expenditures. Duties include assisting the Vice President in developing communications between leadership team meetings, setting agendas, creating initial drafts, helping to prioritize plans for addressing issues that are impacting progress towards initiative benchmarks. Manage internal and external communications including responding on behalf of the Vice President to confidential and personal correspondence and contacts. Actively coordinate information with multiple units to assist in the resolution of issues and/or concerns and refer to appropriate University resources. Work closely with the Financial Officer on executive financial matters and with other senior administrators on coordinating information, data, and reports. The incumbent will also be expected to advise the Vice President of unanticipated problems to be addressed or opportunities to be considered and to research and compile information for reports, correspondence, or presentations. May represent the Vice President and/or the executive office at committee meetings or other events. May approve expenditures for the Vice President's office. Oversee administrative support staff member and function as a trusted advisor to the Vice President. The successful candidate must possess extraordinary organizational and written and oral communication skills, the ability to independently handle multiple priorities and anticipate needs of the Vice President, and have demonstrated success interacting effectively with members of senior management. Excellent computer skills including MS Word, Excel, PowerPoint, and Outlook are required. Key competencies include being highly motivated, a self-starter and exhibiting a high degree of integrity and professionalism. A consistent track record of exercising discretion and independent judgement, while managing confidential information, is required. Typically requires a Bachelor's degree or higher plus four years of related experience, or an equivalent combination of education and experience. Prior supervisory experience is required as well as experience with writing clear and concise communications for a variety of purposes. The Executive Assistant will be tasked with effectively establishing relationships and working professionally with all levels of the University and the general public.
