Carthage College seeks a Grant Accountant to join the Accounting team. The Grant Accountant oversees all restricted fiscal records for grants, cooperative agreements, and contracts. The position is responsible for analyzing financial information and performing a variety of accounting duties associated with the timely and accurate preparation and reporting of grant award financial data in accordance with applicable accounting standards, as well as industry, regulatory and institutional principles and policies. This is a part-time position whose hours will adjust during peak and non-peak periods.
Duties and Responsibilities
- Assist with the development of grant budgets during the award proposal and negotiation process.
- Analyze award terms and conditions to verify budget of final award agrees to final negotiated terms and communicate changes in final approved budgets with the Grants Team which consists of the Principal Investigator/Project Director (PI/PD), Office of Sponsored Programs, and Business Services Office.
- Assign and set-up new GL account codes following standard account formatting for grant budget administration and reporting and communicate the assigned codes with the Grants Team.
- Set-up periodic grant financial reports to be automatically delivered to the Grant Team for ongoing review and management.
- Establish and engage in routine meeting schedule with PI/PD for each grant to review financial and grant compliance in a timely fashion to meet all external reporting deadlines for the award period and the annual audit.
- Prepare accounting journal entries and maintain detailed schedules for labor and fringe benefit costs, indirect costs, cost transfers and corrections, as well as grant revenue and receivable amounts.
- Run, review and monitor periodic grant financial reports, including for sub-awards, to assess budget versus actual variance and investigate and resolve any unexpected results.
- Research inquiries from PI/PD or other staff regarding financial data, allowable cost and other grant requirements, restrictions and limitations.
- Generate invoices and reports that initiate the cash payments/draws for each grant.
- Maintain aging reports and send out reminders to assure all grant award payments are received.
- Assist in the periodic calculation of the indirect cost rate for approval by the federal cognizant agent.
- Prepare and submit for review all grant reports and sub-award reports, including detailed supporting documentation, required by the external funding source.
- Monitors grant compliance with uniform guidance and institutional policies for allowable costs, time and effort reporting and other relevant compliance requirements.
- Collaborate and communicate with grant team regarding any need to request approvals for budget reallocations, no-cost extensions, and other changes affecting the award budget and any other potential compliance concerns to determine and implement appropriate and timely corrective actions.
- Assist in the preparation for the annual audit, including the preparation of the schedules of federal and state awards.
- Prepare or gather all final reporting requirements for grant close-out to assure compliance with uniform guidance and any award-specific reporting needs for close-out, including support to finalize the receipt of all cash payments and draws on the grant awards.
- Performs other job-related duties as assigned.
Required Education, Experience, and Licensure
- Bachelor's degree in Accounting is required.
- Three years of grant accounting experience is required.
- Accounting credentials of Certified Public Accountant or Certified Management Accountant are required.
- Knowledge of grant accounting and generally accepted accounting principles.
- Knowledge of OMB Circular A21 and A133 and Uniform Grant Management Standards.
- Knowledge of Microsoft Office including Word, Excel, and PowerPoint.
- Knowledge of Accounting systems and databases, preferred is Jenzabar CX and eCivis, and the internet.
- Strong oral and written communication skills.
- Ability to Read and interpret contracts to determine risks, appropriate accounting treatment, and other pertinent information.
- Ability to quickly learn new accounting systems and effectively utilize available technology.
- Ability to effectively organize work and manage multiple priorities to resolve problems and meet deadlines.
