The Division of Gastroenterology & Hepatology is a quick growing division within the Department of Medicine. The Division has over 40 Faculty members, many of whom are new to Stanford. We are seeking an Administrative Associate 2 (AA2) to provide administrative or operational support working under general supervision. The AA2 will join a team of 12 other Administrative Staff members that work closely together to support the division as a whole.

Duties include:
  • Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
  • Perform office duties including, but not limited to, handling of incoming and outgoing mail, entering data into basic tables, reports, or spreadsheets, making copies, and monitoring and ordering of office supplies.
  • Disseminate routine communications such as memos, notices, emails, and letters.
  • Arrange meetings and assist with routine conferences including scheduling rooms, managing equipment, ordering meals and assembling materials.
  • Greet visitors and route them to appropriate individuals, answer phones, and serve as a resource on unit procedures and general inquiries.

DESIRED QUALIFICATIONS:
  • Academic or clinical assistant work experience
  • Self-motivated and disciplined to be able to work without constant oversight.
  • Epic and Oracle financial systems experience
EDUCATION & EXPERIENCE (REQUIRED):

High school diploma and three years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.
PHYSICAL REQUIREMENTS*:
  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.
