The Student Activities Center at the University of North Texas is seeking to hire a Administrative Coordinator I to join our team. This position is responsible for non-routine administrative support for a department, which includes office management, budget tracking and reporting, purchasing, travel coordination, correspondence, data compilation, reporting, scheduling, and property control. The individual coordinates the operations of a complex, fast-paced office and provides administrative support that requires the use of considerable independent judgment and initiative. The individual must resolve most questions; referring only the most complex issues to higher levels.Responsibilities of the position include, but are not limited to:* Manages all secretarial and clerical operations of the department and five full-time staff and four graduate assistants.* Provides backup for student employees when necessary, answering incoming lines and greeting visitors to the Student Activities Center.* Manages the student organization Event Application process and classroom reservations for over 400 student organizations and communicates reservation information to appropriate campus entities.* Manages and tracks the budget (expenditures and income) for four Student Activities Center, three Student Government Association, and five Spirit Program accounts, totaling over $1 million.* Manages the purchasing/payment and deposit processes for the Student Activities Center, Student Government Association, and Spirit Program. This includes creating requisitions and interdepartmental transfers and purchasing with a University credit card.* Reconciles monthly University credit card transactions for Student Activities staff.* Prepares budget reports, monthly and as requested.* Assists in advising student organizations about university and departmental policies and procedures.* Analyzes and makes recommendations for office operational needs, including equipment, workflow, and materials.* Coordinates student employee work schedule and assists with their supervision and training.* Oversees human resources processes and procedures (including payroll, new hire onboarding, and timekeeping) for the department.* Coordinates travel processes and procedures (including booking travel, submitting travel reimbursements, and submitting pre-travel paperwork) for the department. * Checks academic and disciplinary eligibility of Student Activities student leaders (e.g., Student Government Association, Campus Life Ambassadors).* Provides interpretation of policies and procedures related to travel, employment, and purchasing and payment services for departmental staff. * Oversees departmental inventory of supplies and equipment and completes annual asset report.* Maintains up-to-date communication for the Student Activities Center email account.* Creates departmental reports as requested by the Director. The successful candidate will possess an Associate's Degree and three years of office administration experience; or any equivalent combination of experience, education, and training.
