Under the direction of the designated administrator, coordinates day-to-day activities of the Department of Psychological Sciences' Graduate Programs, including graduate admissions and graduate recordkeeping functions.

The focus of this job is to provide administrative and academic support for the Department's graduate training programs. The primary focus is on administrative assistance and coordination of the Department's large graduate program. The Program Assistant coordinates the graduate admissions functions; disseminates information, collects application materials for our various graduate programs and graduate student awards, keeps organized filing systems, includes computerized database records of applicants, assists in the processing of applications for admissions, writing offer and rejection letters to applicants; assists graduate students and advises them of rules and regulations of the Graduate School and the Department's various programs, facilitates the processing of forms, course registration, and the meeting of program requirements; keeps academic records of current students and graduates of the programs, both in physical files and computerized database formats; assembles data, writes and/or edits reports, requiring a general knowledge of subject area; maintains a collection of resource materials and program information; assists in database design using knowledge of information for which the data is required and uses the database information to report on program statistics, internally for the purpose of monitoring the progress of students and acquiring program support, and externally, to report to accrediting agencies or others from whom we seek funding or support of the graduate programs; manages and maintains the Graduate Program web pages, social media, and email; will coordinate graduate course scheduling and compilation of program statistics; assists as an advisor to the Graduate Student Advisory Committee and organizes events hosted by this organization; other related duties as assigned.

MINIMUM QUALIFICATIONS

Bachelor's degree in subject area related to program specialty, or equivalent combination of education and experience; one to three years' experience in a responsible administrative support position which demonstrates knowledge of administrative methods; ability to work independently and regularly exercise judgment regarding administrative detail and procedures; ability to provide entry-level program support; strong database and spreadsheet experience; ability to perform and coordinate administrative functions; ability to provide general program support, as appropriate to program to be served; good interpersonal and organizational skills; good writing and communication skills.

PREFERRED QUALIFICATIONS

Experience with Student Administration Systems (PeopleSoft); experience with Hobsons Apply Yourself System; experience with WordPress and LinkedIn; experience with a variety of computer applications especially Excel and basic Microsoft Access functions.
