This position is responsible for general office and graduate program administration. Will serve as liaison between the chairperson, faculty, staff, central administrative offices, students, parents and the general community. Represents the department and chairperson. Responds to routine inquiries/needs or directs to appropriate individual within the department.

Duties include:
Graduate Program Assistant
• Under the direction of the chairperson, Director and Associate Director of Graduate Studies, provide staff support for graduate student recruitment and admissions program.
• Assist with preparation of mailing of brochures and application materials.
• Keep supply of graduate recruitment brochures.
• Maintain on-line and departmental databases regarding applicants.
• Setting up timetable for student orientation and preparing handouts.
• Coordinate the compilation of student files and review by appropriate offices (departmental committees, International Admissions, dean’s office, graduate school, etc.).
• Generate correspondence to applicants of decisions.
• Assist in preparation of materials for teaching assistant assignments, payroll and tuition scholarship processing for all graduate students.
• Responsible for payroll and tuition scholarship processing for all graduate students.
• Maintains departmental academic files for graduate students and provide copy to graduate school on each individual graduate student.
• Assist in preparation of materials and administration of exams for the M.A. and Ph.D. as well as applications for candidacy and graduation.
• Plan and organize annual graduation recognition ceremony and graduate student application luncheon.
• Maintains data on TA and RA position/availability.
• Process offer letters for teaching assistant stipends and tuition waiver.
• Deposits graduate application fees.

Administrative/Clerical Support
• Provide clerical and secretarial support to the department manager, chairperson and faculty.
• Assist in coordinating meetings, compiles files, prepares correspondence. Distribute flyers.
• Assist with processing paperwork for keynote speakers and lectures (honoraria, travel arrangements, reimbursements, etc.), follow-up on problems if needed.
• Deposits checks/cash.
• Answer phone, answer routine questions, and refer visitors to appropriate individual.
• Provide general assistance to faculty as possible and appropriate.
• Assist in the maintenance of office equipment (copy, fax, coffee machines, etc.).
• Assist with department filing.
