Brief Position Summary:
Provides general administrative services within the Office of the Dean of Students and is responsible for supporting the Office, primarily by coordinating the daily office operations.

Essential Functions:
Offer of employment is contingent upon successful completion of a criminal background check.

Provides administrative support to the Dean of Students and other Dean of Student Offices: Judicial Affairs, Residential Life, Health and Wellness Education. This position reports to the Operations Coordinator in DoS.

General Responsibilities:
• Provides coverage to Dos front office. Answers main DoS office phone and directs as appropriate.
• Maintains calendars and schedules meetings for all DoS offices (Residential Life, Judicial office, Health and Wellness and Dean of Students).
• Provides event support including catering arrangements for departments as needed.
• Triages needs of students/parents/faculty/staff and directing them to appropriate appointed personnel.
• Provides secretarial support for updating brochures, informational handouts and website for the Office of Dean of Students.
• Provides support with major DoS activities e.g. Commencement, Student Orientation (Fall and February), Green Dot, Midd Safe.
• Screens mail, forwarding and posting information, ordering office supplies, maintaining office files, assisting in special projects and mailings as needed.
• Organizes use of office credit cards and reconciles credit card statements.
• Coordinates preparation and submission of contracts, vouchers and journal entries.
• Keeps informed as to Middlebury policies and requirements to help answer questions students may have.
• Maintains calendars for shared spaces including the conference room and small offices. Works with ISSS administrative staff to coordinate use of shared spaces.
• Prepares travel itineraries to help DoS offices with work-related travel.
• Serves as the liaison with Facilities Services teams. Coordinates project requests and work orders as needed.
• Provides support to Res Life Program when needed for housing fair, hazing education and StraRez software program.
• Prepares Honor Code rosters for Commons and updates showcases in library.
• Supports the work of the Administration Committee which includes advising applicants on required petition documentation: preparing Administration Committee meeting agendas and petition materials for meetings; and Dean certification.

Education:
High school diploma or equivalent years of experience required.

Knowledge:
• Knowledge of Outlook, Microsoft word, Excel Willingness to be trained in Banner, Hyperion, StarRez, etc.
• Ability to maintain strict confidentiality in all aspects of the DOS
• Strong interpersonal communication, and organizational skills
• Genuine interest in working with students; Willingness to support students from diverse backgrounds.
• Works cooperatively with others and accepts direction from supervisor.

Experience:
2 years of administrative experience is preferred.
