William Paterson University invites applications for the position of Confidential Assistant. Reporting to the Chief of Staff to the President and Board of Trustees (BOT), the Confidential Assistant provides highly skilled and complex administrative support to the President and direct support to the Chief of Staff to the President and Board of Trustees. S/he exercises sound judgement, works with a high degree of discretion, professionalism and confidentiality in the execution of assigned responsibilities and is customer service centered. The Confidential Assistant serves as the office liaison to the BOT and manages assigned elements of Board Meetings. Works effectively as well as efficiently with limited supervision.
Responsibilities include but are not limited to: serving as initial point of contact within the Office of the President for acquisition of BOT materials and coordinating logistical aspects related to the preparation of Committee and BOT meetings. The selected candidate prepares minutes for all BOT meetings; assists with new member orientation and training and proactively manages relevant files and communications. S/he prepares correspondence, reports; remains cognizant of processes and deadlines to insure timely flow of information as well as works collaboratively and communicates effectively with a diverse population of students, parents, faculty and staff.
A Bachelor’s degree from an accredited college or university and a minimum of five (5) years of experience providing administrative support at an executive level. Note: Applicants who do not possess the required education may substitute experience on a year for year basis.
The selected candidate must possess excellent organizational, oral and written communication and interpersonal skills as well as experience working in a fast-paced, complex environment with multiple and competing deadlines. In addition, a strong attention to detail and accuracy as well as extensive knowledge of Microsoft Office Suite (Word, Excel and Outlook) and the availability to work a flexible schedule including occasional evenings and early morning hours are required. Candidates will be evaluated on Microsoft Word and Excel and are subject to a writing sample.
